Job Description

Job Summary:

We are seeking a highly organized, detail-oriented, and discreet individual to lead a curated program of executive relationship experiences on behalf of our CEO. This role is responsible for systemizing and scaling the CEO's personal and professional connections, from meetings and events to personalized gifts and follow-ups, into a consistent, thoughtful, and highly personalized program of ongoing engagement. The ideal candidate combines exceptional attention to detail with strong research and writing skills, is comfortable operating behind the scenes, and has a passion for leveraging technology, AI, and external partners to create scalable, efficient processes that enhance the program's impact and reach.

Key Responsibilities:
  • Relationship Program Management: Build and maintain a systemized program to track and follow up on the CEO's key relationships, ensuring consistent, timely, and thoughtful engagement over time.
  • Contact List Stewardship: Maintain and continuously refine a master list of key internal and external relationships, ensuring each contact has a customized engagement plan.
  • Personalized Gifting at Scale: Research and coordinate thoughtful, customized gifts for individual contacts.
  • Media and News Monitoring: Monitor news and interview feeds for mentions or appearances by individuals on the relationship list, flagging timely opportunities for connection.
  • Event Hosting Support: Support the CEO in hosting small-group virtual sessions for internal and external groups, and assist with related logistics, communications, and materials.
  • Cost and Program Analysis: Manage the program budget and maintain ongoing cost, benefit, and ROI tracking, including quarterly financial reporting and analysis.
  • Client Event Planning and Execution: Plan and execute client events, including managing vendor relationships, sourcing new vendors as needed, tracking client RSVPs, coordinating restaurant reservations, and partnering with local offices to align on guest experience, meals, and event logistics.

Other:
  • Regular in-office attendance, Monday-Friday 9:00am-5:00pm, at Seattle location is a requirement of this role.
  • Ability to lift up to 50 pounds as part of daily operations.
  • Must have a valid driver's license and access to a reliable vehicle for running errands.
  • Up to 15% domestic travel is expected for client meetings, events, and conferences; flexibility based on business needs.


  • Flexibility with hours often necessary due to events.
  • Initial engagement is temporary

Qualifications:

Experience: 3-5 years of experience in relationship management, executive support, CRM/marketing operations, account management, or a similar role; experience with personalized outreach, gifting, or client experience programs preferred.

Education: Bachelor's degree in Business Administration, Communications, or a related field is preferred.

Skills:
  • Exceptional organizational skills and attention to detail.
  • Strong research and writing skills, with the ability to personalize correspondence at scale while maintaining authenticity.
  • Proficiency in Salesforce, including contact/relationship management, campaign creation, tracking, and reporting, as well as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Copilot) and Canva.
  • High level of discretion and confidentiality; comfortable managing sensitive and high-profile relationship information discreetly.
  • Strong program and time management skills, with the ability to manage a large, ongoing contact list and recurring outreach cadences.
  • Demonstrates strong initiative and sound judgment; comfortable working independently and behind the scenes.
  • Strong problem-solving skills and ability to think creatively about customized, individualized experiences at scale.
  • Report into the Global Executive Assistant team, collaborating and working closely with other executive assistants. Participate and contribute to regularly occurring Global Executive Assistant team meetings and processes. Provide mentorship and guidance to the executive assistant team, fostering a collaborative and supportive work environment.

For this role, we are hiring at the following levels and targeted base pay salary ranges: The targeted base salary pay range for this position is $85,000 to $100,000. In addition, individuals may be eligible for an annual discretionary bonus. Actual compensation will depend upon an individual's skills, experience, qualifications, location, and other relevant factors. The salary pay range is subject to change and may be modified at any time.
