Description

The Program Coordinator for Enrollment Services provides administrative and operational support for the Enrollment Services Office, with a primary focus on graduation processing, commencement coordination, transcript evaluation, student records management, and front-line student service. This position plays a critical role in maintaining the accuracy and integrity of student academic records while ensuring timely and efficient support for students, faculty, and staff.

Examples of Duties

  • Coordinate all aspects of the graduation application process, including degree audits, course substitutions/waivers, student notifications, certification, diploma printing, assembly, and distribution.
  • Verify student eligibility for participation in commencement ceremonies and assist with commencement planning, reporting, and event support.
  • Review and evaluate incoming college-level transcripts to determine transfer credit eligibility, course equivalencies, and applicability toward degree programs in accordance with institutional policies.
  • Process transcript evaluations accurately and efficiently while ensuring compliance with accreditation standards and college guidelines.
  • Identify and conduct outreach to stop-out students through data analysis and targeted communication campaigns to support re-enrollment, retention, and degree completion.
  • Update student academic records, process registration changes, and support the Registrar with Credit Amnesty approvals and other records-related functions.
  • Complete enrollment, degree, and chargeback verifications for students and external agencies, including coordination with the National Student Clearinghouse.
  • Process judicial record requests in accordance with college policy and FERPA requirements.
  • Conduct quality assurance review of outgoing transcripts and assist with transcript assembly, packaging, and mailing.
  • Process payments, purchase requisitions, travel requests, and related administrative functions for Enrollment Management staff.
  • Provide front-line Enrollment Services support by assisting students with questions and concerns via telephone and other service channels.
  • Monitor the QLess queue management system and ensure students are called for services in a timely and efficient manner.
  • Support shared office equipment operations, including copier management, billing, accounting coding, and other related duties as assigned.

  • Experience working with college faculty, administrators, K-12 teachers, and students
  • Experience coordinating large- and small-scale programs and events
Compentences and Skills:
  • Strong organization and interpersonal skillsAbility to maintain professional relationships with diverse prospects, students, family members, community members, professionals, and all staff constituents
  • Computer literacy including Microsoft Office products
  • Ability to meet project deadlines
