Tutor Perini Corporation is seeking a Field Office Coordinator for our Midtown Bus Terminal project site in NY NY.

Summary

The Field Office Coordinator is responsible for managing jobsite accounting functions, including payroll, accounts payable, subcontract administration, and general office operations. This position provides administrative and financial support to the Project Manager and Project Engineer as needed to meet project requirements. The scope of responsibilities may expand or contract depending on the size, complexity, and schedule of the assigned project.

Essential Duties and Responsibilities

  • The Field Office Coordinator oversees all payroll-related activities for craft employees, including processing new hire documentation, collecting and entering timecard data, reviewing payroll records for accuracy, and posting payroll information. The role is responsible for maintaining union stamp inventory and distributing stamps on a weekly basis as required. Additional payroll duties include monitoring and preparing invoices for SWAC and other applicable security clearance agencies, as well as compiling certified payroll reports and monthly Equal Employment Opportunity (EEO) reports.
  • In support of accounts payable functions, the Field Office Coordinator processes material receipts against purchase orders and prepares cost blocks and batches for review by the Project Controller. The position tracks and prepares monthly accruals for job supplies, permanent materials, and equipment. The Coordinator also reviews, codes, and forwards all jobsite expense reports to the Main Office for processing.
  • The Field Office Coordinator provides subcontract administration support by maintaining subcontract files at the project site and coordinating with the division office to ensure current insurance certificates are maintained. The position is responsible for processing subcontract requisitions and tracking, reporting, and properly filing Minority Business Enterprise (MBE) and Women Business Enterprise (WBE) requirements. These records must be provided to project owners, resident engineers, and other stakeholders when applicable.
  • The role requires a solid understanding of job cost code structures and project cost tracking processes. The Coordinator is also responsible for verifying that all jobsite scrap materials are processed in accordance with company policies and procedures. In addition, the position maintains the organization and functionality of the field office to support daily project operations

Requirements

  • Must have excellent communication skills, exceptional writing, spelling and grammar skills.
  • High School Diploma/GED required, Bachelors degree preferred.
  • Must be dependable, consistent, diligent and conscientious.
  • Able to work well with others, receive direction, multi task and work independently.
  • Must have strong team skills.
  • Must be a notary public or obtain notary within 3 months of hire
  • Intermediate skill level with MS Word and Excel
  • Experience with automated project costing and accounting systems.
