Job Description:

We are seeking an experienced FF&E Procurement & Equipment Project Manager to support a large-scale healthcare capital improvement program in Los Angeles. This individual will manage and coordinate the planning, procurement, tracking, delivery, installation, and closeout of owner-furnished furniture, fixtures, medical equipment, and related FF&E across multiple new healthcare buildings.

The role will work closely with project leadership, Supply Chain, Facilities Management, Biomedical Engineering, contractors, consultants, vendors, hospital departments, and end users.

What You'll Do

This position serves as a management, coordination, tracking, and advisory resource to the client. The consultant will support procurement, financial tracking, logistics, equipment installation, and closeout activities while working within the established authority of DHS, HUCLA, ISD, Supply Chain Operations, Facilities Management, Biomedical Engineering, contractors, and other client stakeholders.

The consultant will not independently execute contracts, purchase orders, or other procurement actions requiring County authorization.
  • Manage and coordinate FF&E activities for Groups II, III, IV, and V equipment across multiple healthcare facilities.
  • Validate equipment lists to confirm current models, quantities, specifications, pricing, options, accessories, and installation requirements while identifying omissions or duplications.
  • Coordinate with hospital departments and end users to verify equipment selections and operational requirements.
  • Maintain a comprehensive FF&E database including manufacturers, model numbers, quantities, locations, costs, procurement dates, delivery dates, utility requirements, and installation responsibility.
  • Develop and maintain FF&E budgets, track budget-to-actual performance, identify cost variances, and support financial forecasting and procurement savings initiatives.
  • Support bid packages, quotations, requisitions, vendor evaluations, equipment samples, and other procurement activities in accordance with applicable County and client procedures.
  • Develop and maintain an integrated procurement and delivery schedule aligned with construction, fit-out, activation, and occupancy milestones.
  • Track purchase orders, manufacturing, shipping, delivery, staging, and installation activities and escalate schedule risks or discrepancies.
  • Coordinate equipment interfaces with architectural, structural, MEP, low-voltage, and other building systems, including utility, access, anchorage, clearance, and installation requirements.
  • Manage equipment logistics including receiving, staging, delivery access, paths of travel, vendor coordination, installation sequencing, and final placement.
  • Maintain equipment floor plans identifying final FF&E locations and coordinate placement with Facilities, Biomedical Engineering, vendors, contractors, and end users.
  • Coordinate punch-list activities and track damaged, missing, incomplete, or incorrectly installed equipment through resolution.
  • Support calibration, commissioning, asset management, preventive maintenance database entry, warranties, O&M documentation, and final equipment closeout.
  • Support evaluations of existing medical equipment for potential reuse, considering condition, remaining useful life, relocation requirements, downtime, recalibration, cost, and operational impacts.
  • Lead coordination meetings, track action items, and provide regular procurement, schedule, budget, and equipment status reporting to project leadership.

What You Bring
  • 10+ years of experience managing healthcare capital projects, FF&E programs, medical equipment planning, procurement, construction, or related project management activities.
  • Healthcare, hospital, medical center, or clinical construction experience strongly preferred.
  • Demonstrated experience managing FF&E and/or medical equipment procurement, delivery, installation, or activation.
  • Strong understanding of procurement scheduling, requisitions, vendor management, purchase-order tracking, cost control, and logistics.
  • Experience coordinating with Supply Chain, Facilities Management, Biomedical Engineering, contractors, consultants, vendors, and healthcare end users.
  • Knowledge of equipment utility requirements, infrastructure coordination, anchorage, calibration, commissioning, and preventive maintenance.
  • Ability to manage large equipment databases, procurement schedules, budgets, status reports, and multiple vendors simultaneously.
  • Strong organizational, leadership, communication, and problem-solving skills.
  • Bachelor's degree in Construction Management, Engineering, Architecture, Supply Chain Management, Healthcare Administration, or a related field.
  • PMP, CCM, PE, LEED, or other relevant certifications preferred.

Software & Technical Skills
  • Strong proficiency with Microsoft Excel and Microsoft Office.
  • Experience with FF&E databases, project management information systems, procurement systems, or asset management platforms.
  • Proficiency with Bluebeam.
  • Familiarity with CAD, Revit, BIM, or equipment planning software is a plus.
