Staffing Coordinator

Oracle Health Government Services is seeking a skilled Federal Project Analyst Staffing Coordinator to join our mission-driven organization. This position is critical to supporting our Federal client's Electronic Health Modernization staffing, subcontractor coordination, and workforce-readiness needs.

The Federal Project Analyst Staffing Coordinator manages the coordination and tracking of subcontractor onboarding, extensions, offboarding, staffing assignments, resource availability, and staffing documentation. The role is responsible for creating staffing spreadsheets, maintaining accurate resource trackers and staffing rosters, coordinating designated Oracle onboarding activities, and supporting recurring Integration-team meetings.

This position serves as a central point of coordination among project managers, resource analysts, managers, subcontractors, reporting teams, and leadership. The Federal Project Analyst Staffing Coordinator supports timely staffing actions, identifies and escalates staffing risks or resource constraints, and ensures required documentation and communications are complete. The ideal candidate will have strong organizational, communication, and follow-up skills; experience maintaining staffing data and trackers; and the ability to work effectively in a highly regulated Federal environment with internal stakeholders and client partners.

  • Experience maintaining staffing spreadsheets, trackers, rosters, reports, and onboarding records.
  • Proficiency with Microsoft Excel, Outlook, SharePoint, and Slack.
  • Ability to manage sensitive personnel and contract information with discretion.
  • Hands on experience leading programs with multiple teams operational
  • 3rd party vendor management and Risk management experience
  • Communication, team building, coaching


Education, certifications, or experience (preferred/required):
  • US Citizenship is required with an ability to obtain and maintain a government security clearance.
  • 3-5 years of experience in staffing coordination, workforce management, project coordination, HR operations, or subcontractor administration.
  • Experience supporting Federal government contracts or working in a regulated environment.
  • Experience coordinating subcontractor onboarding, extensions, offboarding, and personnel changes.
  • Proficiency creating and maintaining staffing spreadsheets, resource trackers, rosters, and status reports in Excel.
  • Experience working with cross-functional teams, including project managers, resource analysts, HR, subcontractors, and leadership.
  • Familiarity with Oracle onboarding processes, SharePoint, Slack, Outlook, and related access or collaboration tools.
  • Experience coordinating recurring meetings, tracking action items, and following up on deadlines.
  • Strong written communication, attention to detail, discretion with sensitive personnel information, and ability to manage multiple priorities.

Responsibilities:
  • Support the staffing manager
  • Coordinate subcontractor onboarding, extensions, data changes, and offboarding requests.
  • Review onboarding documentation for completeness, including onboarding request forms, Resource Assignment Forms, Statements of Work, task-order information, and supporting contract documentation.
  • Route requests to the appropriate Resource Analyst and required stakeholders; avoid duplicate requests.
  • Track request progress and follow up on HR pre-checks, HCM processing, SSO credentials, and FACTS alignment.
  • Support monthly contractor extension reporting.
  • Maintain and update the staffing spreadsheet and resource tracker
  • Create staffing spreadsheets for new staffing requirements and project needs.
  • Provide staffing status updates and reports to leadership, project managers, and resource-management stakeholders.
  • Identify and escalate staffing shortages, resource constraints, and overdue staffing actions.
  • Support and maintain coordination of recurring Oracle Integration meetings, including meeting invitations, distribution lists, agendas, materials, attendance, meeting notes, and action-item tracking.
  • Coordinate Oracle onboarding by tracking new-hire progress, training, documentation access, buddy assignments, Slack/SharePoint provisioning, and readiness to work independently. Support managers and new hires with seating coordination, guidance, and escalation throughout the process.

US: Hiring Range in USD from: $81,700 to $166,100 per annum. May be eligible for bonus and equity.

Oracle maintains broad salary ranges for its roles in order to account for variations in knowledge, skills, experience, market conditions and locations, as well as reflect Oracle's differing products, industries and lines of business.
Candidates are typically placed into the range based on the preceding factors as well as internal peer equity.

Vacation accrual is prorated for employees working between 20 and 34 hours per week. Employees working fewer than 20 hours per week are not eligible for vacation.
