POSITION SUMMARYThe Facilities Manager is responsible for the full lifecycle of building operations, maintenance, and physical asset management at a newly delivered 1,140-unit residential rental building in Toronto. The building includes ground floor commercial/retail space; the Facilities Manager is the primary maintenance lead for both the residential and commercial components. This role leads the in-house maintenance team), manages all 3rd-party trade vendors, owns the preventive maintenance program, and serves as the primary emergency response lead. The Facilities Manager is a hands-on operational leader who ensures the building's systems, safety, and physical condition meet the highest standards across all uses.
KEY RESPONSIBILITIESMaintenance Operations & Team Leadership- Direct, schedule, and supervise the in-house maintenance team
- Manage the work order system: intake, prioritization, assignment, and close-out in the Station House app & Yardi
- Manage the builder deficiency program: track, escalate, and coordinate resolution of outstanding construction deficiencies across residential and commercial/retail spaces
- Dispatch in-house techs and 3rd-party trades in response to service requests and emergencies
- Establish and execute a comprehensive preventive maintenance program across all building systems
- Maintain up-to-date maintenance logs, inspection records, and service histories
- Ensure warranty documentation and asset lifecycle records are maintained
- Maximize the use of all building technology platforms, including the Station House app, for work order management, maintenance tracking, and vendor coordination; proactively explore and adopt new platform features to improve operational visibility and team efficiency
Commercial & Retail Space Maintenance- Manage all maintenance, base-building systems servicing, and physical condition requirements for ground floor commercial/retail spaces
- Coordinate access and maintenance scheduling with commercial/retail tenants; respond to commercial tenant work requests in a timely and professional manner
- Ensure base-building services (HVAC, plumbing, electrical, fire-life safety) to commercial/retail units are maintained to the standard required under each tenancy agreement
- Ensure ground floor commercial/retail areas meet Ontario fire code, building code, and OHSA requirements as they apply to the landlord's obligations
- Liaise with the Senior Property Manager on commercial tenant requirements as leases are finalized and tenant fit-outs commence
Vendor & Contract Management- Source, evaluate, and retain 3rd-party trade vendors (HVAC, fire-life safety, pest control, pool, elevator, plumbing, etc.)
- Prepare and negotiate service contracts; ensure all vendors carry required insurance and WSIB documentation
- Oversee pool maintenance contractor to ensure compliance with Toronto Public Health standards
- Schedule and quality-control all 3rd-party vendor work on-site
- Conducting vendor performance reviews and present findings to the Senior Property Manager
- Review and recommend approval for all maintenance and facilities invoices
Compliance & Safety- Ensure all building systems meet Ontario fire code, electrical, elevator, boiler, and OHSA requirements
- Oversee and participate in all regulatory inspections and certification renewals
- Lead fire drills, emergency planning exercises, and evacuation procedure development
- Maintain WHMIS compliance and contractor safety standards on-site
Emergency Response- Serve as primary on-call contact for all after-hours building emergencies
- Establish and maintain a 24/7 escalation protocol for the maintenance team
- Coordinate emergency response actions and communicate with tenants and Senior PM as required
QUALIFICATIONS- Minimum 5 years of experience in building operations, facilities management, or a related trades/property maintenance role
- Experience managing a team and 3rd-party vendors in a multi-residential building of 500+ units preferred
- Experience with mixed-use or commercial/retail maintenance responsibilities is an asset
- Strong knowledge of Ontario Building Code, fire code, OHSA, and RTA maintenance obligations
- Proficiency with work order management systems (Yardi or similar)
- Certified Facilities Management Professional (FMP) or Facilities Management Certificate an asset
- Valid driver's license required
- Technical background in one or more building systems (HVAC, electrical, plumbing) strongly preferred

COMPENSATIONThe expected annualized base salary range for this position is
$85,000 - $110,000. The actual salary offered will take into consideration a wide array of factors including, but not limited to, the individual's skill, experience, and relevant education or training.
