Full Job Description
Position Summary
The Facility Manager plays a critical role in supporting and supervising the safe, secure, and efficient operation of site infrastructure, building systems, and digital platforms. This position is directly involved in the execution of capital projects and is responsible for organizing documentation and developing a structured management system to support operational excellence. The role requires strong problem-solving and critical thinking skills and the ability to thrive in a highly dynamic life science R&D environment.

Key Responsibilities
Facilities Operations
  • Work closely with IFM partner and BD management to ensure continuous facilities operations
  • Develop detailed understanding of building systems (HVAC, plumbing, electrical, life safety, etc.)
  • Develop detailed understanding of preventive and corrective maintenance activities with internal teams and vendors
  • Participate in facility inspections and report deficiencies
  • Support and oversee infrastructure upgrades and renovations


Security Oversight
  • Support and maintain physical security systems (access control, CCTV, alarms)
  • Coordinate with vendors and internal teams to ensure site security protocols are followed
  • Assist in incident response and documentation related to security events


Environmental Health & Safety (EHS)
  • Support implementation of EHS programs and policies
  • Ensure compliance with OSHA, EPA, and other regulatory requirements
  • Participate in safety audits, inspections, and emergency preparedness drills
  • Oversight of documentation for hazardous materials, waste disposal, and safety training


Capital Project Execution
  • Lead and support execution of CAPEX projects from planning through closeout
  • Coordinate with stakeholders, vendors, and contractors to ensure timely delivery
  • Track budgets, schedules, and milestones
  • Ensure proper documentation and reporting for all capital initiatives


Financial Support
  • Assist in tracking and managing OPEX and CAPEX budgets
  • Support procurement processes, including vendor quotes, purchase orders, and invoice reconciliation
  • Contribute to budget forecasting and cost control measures


IT Systems & Digital Tools
  • Manage and support server-hosted applications including:

- Building Management Systems (BMS)

- Environmental Monitoring Systems

- Camera Surveillance Systems

- Door Access Control Systems

- Asset Management Platforms
  • Coordinate with IT for system updates, backups, and integrations
  • Utilize Microsoft 365 tools (Teams, SharePoint, OneDrive, Outlook) for documentation, collaboration, and reporting


Documentation & Management Systems
  • Organize and maintain facility-related documentation, drawings, and records
  • Develop and implement a structured management system for tracking work orders, inspections, and compliance
  • Ensure data integrity and accessibility across platforms


Qualifications
  • Bachelor's degree required in Facilities Management, Engineering, Environmental Science, Information Technology, or a related field. Journeyman Trade Certification in electrical, plumbing or HVAC with facilities experience would also be acceptable.
  • 3+ years of experience in facilities operations, building maintenance, or a related field
  • Familiarity with building systems and CMMS (Computerized Maintenance Management Systems)
  • Experience or aptitude in EHS, physical security systems, and financial tracking
  • Direct experience with CAPEX project execution and documentation management
  • Working knowledge of server-hosted applications and Microsoft 365 tools
  • Strong problem-solving and critical thinking skills
  • Ability to work effectively in a fast-paced life science R&D environment
  • Laboratory knowledge or experience is a plus
  • OSHA 10/30 certification or willingness to obtain is a plus


Physical Requirements
  • Ability to lift up to 50 lbs
  • Frequent walking, standing, bending, and climbing ladders
  • Ability to work in various environmental conditions (mechanical rooms, rooftops, etc.)
