Salary Range: $69,000 - $115,000Job Summary This is an exempt full-time position responsible for ensuring the main office and service centers of the Property Appraiser's Office operate smoothly and efficiently. The primary role is to oversee and support various aspects of facility management to maintain a safe, functional, and comfortable work environment. This position requires an individual who is a self-starter, able to work independently with minimal supervision, exercise sound judgment, and proactively identify and address facility-related needs and issues. The position requires strong organizational and project management skills and the ability to effectively manage multiple projects, assignments, deadlines, and priorities.

Duties/Responsibilities- Manage PAO facilities projects, including coordination with appropriate Palm Beach County agencies, outside vendors, contractors, and consultants, and assist with applications for required permits.
- Serve as the primary point of contact for facility-related inquiries, complaints, service requests, and issues from staff; coordinate with employees, County agencies, contractors, and vendors to ensure timely resolution.
- Receive, manage, and process work order requests through a computerized maintenance management system (CMMS) or equivalent digital platform; monitor requests through completion and maintain appropriate documentation.
- Professionally represent the Office in meetings and communications with staff, County employees and officials, contractors, vendors, and other stakeholders.
- Manage the PAO Emergency Management Program, including developing, maintaining, and testing emergency response, business continuity, and severe weather plans; coordinating preparedness training and drills; and serving as the primary point of contact before, during, and after emergency events.
- Represent PAO on the County's Emergency Preparedness Planning Team and coordinate emergency response activities with County agencies, service centers, and other stakeholders.
- Ensure safety standards are followed throughout the organization and conduct routine inspections of PAO facilities to identify and address safety, maintenance, cleanliness, and functionality concerns.
- Perform basic facility maintenance, repair, and installation tasks, including hanging pictures, installing or assembling office furnishings and equipment, making minor repairs, and assisting with general facility-related needs.
- Assist with moving, arranging, and setting up furniture, equipment, signage, and other items throughout the office and service centers.
- Performs other general maintenance and facility support duties as assigned.
- Manage equipment and supply needs, including furniture, telecommunications, office equipment, and general facility supplies.
- Support sustainability and energy-efficiency initiatives, including recycling programs, energy monitoring, and environmentally responsible procurement and vendor practices.
- Maintain accurate facility management, maintenance, inspection, work order, and project records using digital recordkeeping and shared file systems.
- Coordinate building security and access control systems, including key and badge access, surveillance cameras, and alarm systems, in partnership with security personnel and vendors.
- Assist with space planning and utilization tracking to support the efficient use of office and service center space.

Required Knowledge, Skills, and Abilities - Knowledge of the principles, responsibilities, and practices of facilities management and maintenance.
- Proficiency with, or ability to quickly learn, computerized maintenance management systems (CMMS) or similar work order and asset management software.
- Knowledge of the functions, operations, and organizational structure of the Property Appraiser's Office and Palm Beach County government.
- Knowledge of office policies, procedures, practices, systems, and equipment.
- Familiarity with building security, access control, and surveillance systems.
- Basic knowledge of sustainable facilities practices, including energy efficiency, waste reduction, and environmentally responsible procurement.
- Ability to respond effectively to building, facility, and equipment emergencies.
- Ability to develop, implement, and manage emergency management and business continuity programs.
- Ability to take initiative, proactively identify and address facility-related needs and issues, and work independently with minimal supervision while exercising sound judgment.
- Demonstrated project management skills, including the ability to plan, coordinate, monitor, and successfully complete projects while managing multiple assignments, deadlines, and competing priorities.
- Ability to work effectively in a fast-paced environment and adapt to changing priorities.
- Ability to establish and maintain effective working relationships with employees, County personnel, contractors, vendors, and other stakeholders.
- Ability to plan, direct, and coordinate the work of others when required.
- Excellent verbal and written communication skills, including the ability to prepare reports, maintain accurate records, and effectively communicate information.
- Highly organized with strong attention to detail and the ability to maintain accurate records and documentation.
- Proficiency in Microsoft Office Suite and cloud-based collaboration tools, including Microsoft Teams and SharePoint, for creating and maintaining reports, records, and logs.
Education and Experience- College degree preferred. Relevant education, training, and/or work experience may be considered as a substitute for the degree.
- Relevant experience in facilities management, maintenance, project coordination, or a related field preferred.
- Must possess a valid Florida Driver's license, automobile that is fully functional and available at all times, vehicle insurance, and a good driving record, and maintain all while employed in this position.
Physical Requirements: - Prolonged periods standing and walking throughout facilities.
- Must be able to lift up to 15 pounds at times.
- Must be able to bend, lift, stretch, climb, and crawl to inspect equipment and buildings.
- Must be able to perform work in a variety of weather conditions.
Working Conditions - Work is regularly performed in an environmentally controlled office setting; however, some work is regularly performed for sustained periods outdoors and occasionally in hot, cold, or inclement weather.
- May be required to periodically travel to various properties throughout the County, as well as the various Service Centers.
- This position may be required to provide support before, during and after major storm events and emergency situations, such as hurricanes or other declared emergencies, depending on assigned emergency role. May require after-hours or weekend duty.
