Your Role on the Team

Facilities Project Manager with experience who is responsible for coordinating all phases of renovation, maintenance, repair and minor capital projects, from establishment of design concepts project budgets and schedules through design implementation and coordination of construction. Execute and communicate project scope based on assessment of program, budget, building structure, utility infrastructure, and code compliance. Provide technical advice to customers and staff, and develop and evaluate alternate project solutions. Adhere to schedule and estimate and provide status reports as directed. Function as lead on projects as assigned by the Project Services Manager with a high degree of responsiveness to requests for service. Acts independently, receiving guidance at each key phase of the project. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

Key Responsibilities:
  • Meets with clients to help define project scope and program; Responsible for all aspects of project management, including Customer communication, scope identification, project planning, cost estimating, funding, contracting, construction coordination, warranty coordination and project closeout to fully communicate and deliver the scope of the proposed renovation work on schedule and within budget.
  • Formally establishes project plan, including working with other units, departments and the Office of the President (i.e., SMCP, Budget Office and other Capital Project Units) to facilitate this effort and ensure funding transfers. Function as liaison with the Campus customer during the duration of projects.
  • Hires architectural / engineering firms to develop project requirement definitions, design criteria, and preparing layouts and detail drawings and manages the services of the architects and engineers.
  • Reviews cost estimates, establishes project schedule and budget and reviews with clients and ensure construction documents have required approvals.
  • Ensures plans and specifications conform to the program.
  • Bids or negotiates construction contracts, reviews and manages construction activities, including contractor's schedule, RFIs, Submittals, Change Order Requests, and Punch List, and acts as liaison among project participants, resolving problems or conflicts.
  • Ensures project is properly closed out and Operations & Maintenance Manuals and record drawings are turned over to Physical Plant Services.
  • Creates project in project management software application, including systematic reporting and updating of project status as required by Capital Projects Management, including budget and schedule.
  • Performs organizational, departmental and administrative activities not directly relating to projects, including serving on committees representing department or unit.
  • Work closely with Facilities Management inspection group, Design & Construction Services contracts department, Project Accounting, and Facilities Management Maintenance and Operations group to ensure University and Public policy are adhered to and project delivery.
  • Participate in Emergency Response Building Rapid Assessment Team, and all other duties assigned.

What It Takes to be Successful

Required:
  • Thorough working knowledge of building and construction, design, construction contract administration and California Building Codes, including full understanding of industry practices.
  • Thorough project management skills, including skill to manage complex projects.
  • Thorough skills in problem recognition / avoidance / resolution.
  • Thorough organizational and analytical skills including skill to provide high quality control. Detail oriented to accurately proof contracts and other documents.
  • Thorough written, verbal and interpersonal communications skills including high level political acumen.
  • Proven ability to manage contractors and maintain compliance to the agreed-upon scope of work and budget.
  • Knowledge of industry standards and utility systems when inspecting and surveying buildings infrastructure for the basis of project design development.
  • Ability to work with consultants and material vendors in exploring design and construction options.
  • Skill in working with people who have levels of design and construction knowledge ranging from detailed to very limited, to assist their understanding of project scope, design decisions, associated costs, project schedule, and codes and standards compliance and achieve a high level of customer satisfaction.
  • Knowledge of University systems Policies and Procedures applicable to the Irvine campus.
  • Bachelor's degree in related area and / or equivalent experience / training
  • A minimum of 3 years of experience of experience in Architectural, Engineering or Facilities fields, including 3 years of responsible planning, organizing and managing teams to execute renovation projects ranging in value from $50,000 and up.


Driver's License:
  • Required to hold a valid drivers license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program.


Preferred:
  • Thorough knowledge of the organization, including its infrastructure and short and long range strategic building plans.
  • Knowledge of principles used in preparing man-hour and material estimates for various types of projects.
  • Skill in adjusting industry standard estimating procedures and guides to accommodate project-specific decisions.
  • Knowledge of Public contracting code and policies as they pertain to procuring professional services, purchase orders, and construction contracts.
  • Active California Department of Consumer Affairs- Architect License
  • Active California Department of Consumer Affairs- Professional Engineer
  • Project Management Institute- PMP
  • USGBC- LEED credentials
  • Association of Energy Engineers- Certified Energy Manager


Special Conditions:
  • Must comply with UC vaccine policy
  • Must be able to wear PPE
  • Add must be able to work outside of regular hours including on-call.
