ABOUT THE JOBThis is a high-impact position directly supporting the CEO and working closely with the Chief of Staff. You will help run the executive office by owning the calendar, supporting leadership briefs, and coordinating key engagements, travel, and VIP visits.
You will help ensure the CEO's time, attention, and follow-through are directed toward the highest-leverage issues in the business. The position sits at the intersection of scheduling, logistics, execution, and leadership support. It requires strong judgment, critical thinking, exceptional organization, and the ability to operate calmly in a fast-moving environment.
Done well, you will improve the efficiency and effectiveness of the CEO Office and serve as a force multiplier for the team.
WHAT YOU'LL DO- Provide comprehensive support to the CEO Office, ensuring efficient management of the CEO's calendar, including coordinating meetings, events, and travel arrangements
- Proactively identify, prioritize, and resolve potential scheduling or logistical conflicts before they arise, ensuring time is allocated to the highest-leverage activities
- Help prepare leadership prep packets, executive materials, and meeting-related communications
- Monitor and record progress among several strategic projects, communications, and engagements
- Identify opportunities to create new processes and systems to effectively support the needs of the CEO Office
- Arrange logistics for high-level internal and external events, including budget tracking, cross-functional coordination, participation management, and protocol for VIPs.
- Own and arrange seamless domestic and international travel for CEO Office, including flights, accommodations, itinerary, and contingency planning
- Cultivate strong relationships within the immediate CEO Office team and across departments, becoming a trusted partner to leaders by understanding team dynamics, priorities, and stakeholders.
- Handle confidential communications with discretion and professionalism, demonstrating a deep understanding of company policies and executive perspectives.
REQUIRED QUALIFICATIONS- 6+ years of relevant experience, preferably within high-tech, faced paced environments. Experience as a project manager is highly preferred and desired.
- Exceptional written and verbal communication skills, including the ability to communicate effectively with senior leaders and external stakeholders
- Previous success establishing standard operating procedures within a startup or similar environment
- Strong organizational skills, attention to detail, and follow-through, with the ability to manage competing priorities under pressure
- Experience coordinating across multiple stakeholders and functions in a fast-moving environment
- Experience coordinating and booking domestic and international travel
- Willingness to work flexible hours and operate on the CEO's schedule when needed
- Completed undergraduate degree
- Must be a U.S. Person due to required access to U.S. export controlled information or facilities
US Salary Range
$129,000-$171,000 USD
The salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only.
