Full Job Description
POSITION OVERVIEW:

Reporting directly to the Chief Financial Officer, the Executive Assistant provides senior-level support to the CFO and Finance team, including the VP Finance and Treasurer, while working closely with Investor Relations and Financial Planning & Analysis. Aligned with RioCan's values and culture, the ideal candidate is creative, adaptable, and comfortable working in a dynamic environment. The role requires excellent attention to detail and organizational skills, sound judgment in a range of situations, the ability to balance multiple priorities, and a professional approach when engaging with senior internal and external stakeholders.

RESPONSIBILITIES:

Support of Business Critical Initiatives:

  • Partner with the CFO, senior executives, and team members to coordinate the Strategic Planning and Annual Business Plan processes, including board presentation preparation and overall project management.


  • Serve as a key member of the Investor Relations team by supporting the annual IR calendar, monthly reporting, stakeholder relationship management, investor and analyst meeting scheduling, and the planning and execution of investor events.


  • Support the CFO in systematically managing key external relationships, including board members, investment banks, lenders, analysts, investors, service providers, and partners.


  • Apply a continuous improvement mindset and strong technology aptitude to enhance team processes, including through tools such as Copilot (AI tool), SharePoint, OneDrive, OneNote, and Power BI. Prior experience with these tools is an asset, but not required, as training will be provided.


  • Coordinate the preparation of reports and presentations for meetings with executives, investors, and the Board.


Administrative Activities:

  • Complex scheduling and calendar management for the CFO and other executives;


  • Event and meeting management including planning internal and external events and offsites;


  • Arrange travel for the CFO and other executives and prepare expense reports;


  • Manage sensitive matters with a high level of confidentiality and discretion;


  • Represent RioCan and the office of the CFO in a positive light through excellent follow-through skills, attention to detail, prioritization, communication, and sound judgment;


  • Other duties and responsibilities as assigned.


QUALIFICATIONS:

  • Demonstrated five years of progressive administrative experience required; direct experience supporting a senior-level executive;
  • Proven success in a high-volume work environment with balancing and shifting priorities;
  • A Bachelor's Degree, college Diploma, or Certificate in Executive Office Administration is considered an asset;
  • Advanced proficiency in Outlook, MS Word, and PowerPoint;
  • Interest in and aptitude with new technologies;
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment;
  • Exceptional verbal & written communication skills with a strong business sense and ability to fact-check and proof documents;
  • Proven ability to work in a team environment;
  • Proactive, show initiative, and exercise good judgment;
  • A high sensitivity to the confidentiality of information;
  • Ability to think outside the box with a sense of urgency, decipher priorities and make sound judgment calls when needed.


$88,000 - $108,000 a year

The base salary range for this role reflects compensation for candidates at varying levels of experience and proficiency. The salary will be determined based on the successful candidate's relevant competencies, including skills, experience, education, and our teams' requirements.

The listed salary range does not include bonus and other total rewards. This role is eligible for participation in the company's bonus program.
