Description

The Executive Assistant provides high-level administrative and correspondence support in a high-visibility front office environment. Operating under the direction of front office leadership (e.g., Branch chief), this role ensures timely, accurate, and protocol-compliant correspondence, records, and coordination that enables leadership decision-making and mission execution. This key position manages daily front office operations, optimizes the Commander's schedule, and acts as the primary point of contact for internal and external stakeholders. The ideal candidate excels in a dynamic, high-tempo environment, demonstrates superior organizational abilities, and ensures the seamless execution of sensitive, mission-critical activities in support of senior military leadership.

Key Responsibilities:
• Executive Support: Serve as the principal assistant to the Front Office Staff, facilitating the general officer's daily workflow and ensuring operational efficiency in all front office activities.
• Scheduling & Coordination: Oversee the calendar, schedule, and coordinate high-level meetings and engagements with host nation leaders, senior military officials, Congressional delegates, and political leaders. Prepare agendas, briefing materials, and manage engagements from planning through execution.
• Communication Liaison: Act as the primary conduit for information flow; relay messages, directives, and requests between the Commander and internal/external stakeholders promptly and accurately.
• Office Administration: Manage administrative functions including drafting, editing, and tracking correspondence, maintaining official files/records, and handling incoming and outgoing communications.
• Office and Workflow Management: Organize and maintain an efficient front office environment. Monitor the office's battle rhythm, track deadlines, and ensure all required deliverables are met.
• Event & Travel Planning: Coordinate logistics and requirements for official travel, events, ceremonies, and meetings to ensure successful outcomes and smooth operations.
• Confidentiality & Discretion: Handle sensitive information with strict confidentiality and maintain the highest standards of integrity and professionalism.

Position Requirements

Required Qualifications
• Proven experience in an executive assistant, administrative, or similar support role-preferably supporting senior military, government, or public sector leaders.
• Exceptional organizational skills with demonstrated ability to manage complex schedules, competing priorities, and strict deadlines in a fast-paced environment.
• Superior written and verbal communication skills; professional presence and competency interacting with high-ranking officials and dignitaries.
• High degree of discretion, judgment, and ability to manage confidential or sensitive information.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and office management tools.
• Strong attention to detail and a commitment to accuracy.

Preferred Qualifications
• Prior experience supporting general officers, senior military leaders, or executives at the SES or equivalent level within the Department of Defense or U.S. government.
• Familiarity with military protocols, customs, and terminology.
• Prior experience with planning and coordinating high-level meetings and events.
• Outstanding interpersonal skills to foster positive working relationships both within the command and with outside organizations.
• Proactive attitude with the ability to anticipate needs, adapt to changing priorities, and resolve issues independently.
• Security clearance or eligibility to obtain, if required by the position.
