Qualifications & Experience:
  • Diploma or degree in Business Administration, Office Management, or a related field (or equivalent experience)
  • Minimum 3-5 years of experience as an Executive Assistant or office manager, or senior administrative support professional; experience supporting senior leaders preferred
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Ability to work independently, manage competing priorities, and meet deadlines
  • High level of professionalism, discretion, and sound judgment

STRABAG Inc. is seeking a highly organized and professional Executive Assistant to provide senior-level administrative support to executive leadership. The successful candidate will be proactive, detail-oriented, and comfortable working in a fast-paced, project-driven environment.

This role plays a critical part in ensuring smooth executive operations, effective communication, and efficient coordination across internal teams and external partners.

Essential Duties and Responsibilities:
  • Provide comprehensive administrative support to senior executives, including calendar management, scheduling, and meeting coordination
  • Manage executive communications, including screening calls, emails, and correspondence
  • Coordinate domestic and international travel arrangements, including itineraries and expense tracking
  • Prepare, format, and proofread presentations, reports, meeting materials, and correspondence
  • Attend meetings, take minutes, and track follow-up action items
  • Maintain organized electronic and physical filing systems
  • Screen calls, emails, and requests, responding or redirecting as appropriate
  • Assist with project coordination and follow-up on action items
  • Act as a liaison between executives and internal departments, clients, consultants, and external stakeholders
  • Support project coordination, documentation control, and special initiatives as required
  • Handle confidential and sensitive information with professionalism and discretion
  • Provide support with general office administration and reception duties during periods of reduced executive workload
  • Collaborate closely with the Office Administrator to maintain smooth and efficient day-to-day office operations
  • Assist with front desk coverage, office coordination, and administrative tasks as needed to support overall office functionality
