Qualifications & Experience:
- Diploma or degree in Business Administration, Office Management, or a related field (or equivalent experience)
- Minimum 3-5 years of experience as an Executive Assistant or office manager, or senior administrative support professional; experience supporting senior leaders preferred
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- Exceptional organizational and time-management abilities
- Ability to work independently, manage competing priorities, and meet deadlines
- High level of professionalism, discretion, and sound judgment
- Experience in construction, engineering, or project-based environments is considered an asset

STRABAG Inc. is seeking a highly organized and professional Executive Assistant to provide senior-level administrative support to executive leadership. The successful candidate will be proactive, detail-oriented, and comfortable working in a fast-paced, project-driven environment.
This role plays a critical part in ensuring smooth executive operations, effective communication, and efficient coordination across internal teams and external partners.
Essential Duties and Responsibilities:
- Provide comprehensive administrative support to senior executives, including calendar management, scheduling, and meeting coordination
- Manage executive communications, including screening calls, emails, and correspondence
- Coordinate domestic and international travel arrangements, including itineraries and expense tracking
- Prepare, format, and proofread presentations, reports, meeting materials, and correspondence
- Attend meetings, take minutes, and track follow-up action items
- Maintain organized electronic and physical filing systems
- Screen calls, emails, and requests, responding or redirecting as appropriate
- Assist with project coordination and follow-up on action items
- Act as a liaison between executives and internal departments, clients, consultants, and external stakeholders
- Support project coordination, documentation control, and special initiatives as required
- Handle confidential and sensitive information with professionalism and discretion
- Provide support with general office administration and reception duties during periods of reduced executive workload
- Collaborate closely with the Office Administrator to maintain smooth and efficient day-to-day office operations
- Assist with front desk coverage, office coordination, and administrative tasks as needed to support overall office functionality
