Purpose

The Executive Assistant provides administrative support of a highly complex and responsible nature to the Chief Executive Officer (CEO). This position requires high level of professionalism, discretion and attention to detail. Additionally, the Executive Assistant performs clerical duties such as answering phones and filing. The Executive Assistant is responsible for the daily operation of the front office including supervision of the front office staff.
Major Responsibilities
Responsibilities:
  • Provide confidential support and assistance to the CEO by maintaining the day-to-day schedule, routing correspondence and invoices, drafting documents, collecting and analyzing information, and performing other high level administrative functions.
  • Coordinate detailed travel arrangements for the CEO, other members of the senior management team and Board members.
  • Provide administrative support to departments with projects and special assignments.
  • Organize and coordinate meetings, including room reservations, material preparation, and ordering refreshments.
  • Read, research, and route correspondence, collect and analyze information, draft outgoing correspondence and documents.
  • Uphold a professional office environment while welcoming guests and customers, in person or on the telephone, answering or directing inquiries.
  • Supervise the Front Office staff and provide back up as needed.
  • Develop and use filing and retrieval systems.
  • Notarize documents.
  • Perform other duties as assigned.

Qualifications
Education/Experience:
  • Associates degree required. Bachelor's degree preferred.
  • Three years of progressively responsible office management experience with at least one year providing executive level support. Preference for experience in support of a public government agency with a board, council, or commission.
  • A combination of education and experience may be considered in meeting the requirements of this position.
  • Notary within 90 days of hire.
  • Valid state driver's license, free of serious or frequent traffic violations.

Knowledge/Skills:
  • Deliver excellent internal and external customer service.
  • Handle inquiries, comments, and complaints in a polite, professional manner.
  • Show a high level of professional poise and personal bearing to deal with people including a clear speaking voice and skills in operating a multi-line telephone system.

Physical Requirements
  • Requires the ability to lift, carry, push and pull objects up to 30 pounds.
  • Job functions require sitting for extended periods with intermittent walking and standing; also involves occasional stooping, kneeling, bending, lifting, carrying, and reaching.
  • Extensive wrist and hand movements required for frequent keyboarding and use of office equipment.
  • Ability to perform close work to file, read and use computer required.
  • Ability to continuously exchange information through listening and talking with customers, coworkers, and other individuals required.

Supplemental Information
Working Contacts:

Reports to the CEO with regular contact with Airport Board members, management, employees, vendors, and the general public.
Working Conditions:

Work is primarily in an office setting with minimal exposure to weather elements. Requires walking outside to attend to conference rooms. There is minimal local travel. The position is Monday through Friday with 8-hour shifts and occasional meetings outside of the regular work schedule. This is a full-time position to be performed at the worksite.
Equipment Operation Required:

Personal computer, phones, calculators, copier, fax, binding machine, postage meter and other office equipment.
Spokane Airport provides a generous benefit package. Currently, we cover employee at 100% and dependents at 90% of the premium cost. We offer four plan choices for medical coverage (includes vision) through Kaiser Permanente. The Airport contributes to a Health Savings Account (HSA) for high deductible plans and a Health Reimbursement Account (HRA) for the other plans. Dental coverage is through MetLife. Additionally, the Airport provides life insurance at two times the annual salary. Optional life insurance is also available. Short term and long term disability is also provided by the Airport. Retirement is through the Washington State Department of Retirement System - PERS Plan. The Airport provides an employee assistance program through BHO, and an employee wellness program. Parking is provided.

The Airport recognizes 11 holidays. Vacation is earned at eight (8) hours a month for the first five (5) years and increases every five (5) years. Sick leave accrues at eight (8) hours a month. The Airport also provides military and jury leave.
