Job Summary:

TAKKION is seeking a highly organized, proactive, and professional Executive Assistant to provide strategic administrative support to multiple C-suite executives. This role serves as a trusted partner responsible for managing complex calendars, coordinating executive priorities, facilitating communication, organizing meetings and events, and ensuring leaders remain focused on the company's most critical initiatives.

Employees in this role are expected to work from our Centennial, CO office Monday through Friday.

Responsibilities/Essential Functions:
  • Manage and coordinate confidential and complex executive calendars, ensuring priorities are aligned, and schedules are optimized.
  • Schedule internal and external meetings, board meetings, leadership sessions, strategic planning events, and follow-up actions.
  • Monitor calendar conflicts and proactively adjust schedules to maximize executive productivity.
  • Assist executives in managing priorities, deadlines, and key initiatives.
  • Track action items and ensure timely completion of commitments and deliverables.
  • Act as the office manager, ordering supplies, distributing mail, and other related duties
  • Coordinate domestic travel arrangements, including flights, hotels, rental vehicles, and itineraries.
  • Prepare detailed travel schedules and support materials.
  • Manage expense reporting and reimbursement.
  • Resolve travel-related issues and schedule changes as needed.
  • Support planning and execution of Board of Directors meetings, leadership meetings, and executive events.
  • Coordinate meeting logistics, venues, catering, travel, and materials.
  • Prepare presentations, meeting packets, and executive communications.
  • Capture and distribute meeting notes, action items, and follow-up tasks as needed.
  • Handle highly confidential and sensitive business information with the utmost discretion.
  • Maintain executive files, records, and correspondence.
  • Draft and edit communications, presentations, reports, and other business documents.
  • Assist with special projects and strategic initiatives assigned.
  • Maintain professional communication with employees, customers, board members, vendors, and business partners.
  • Foster strong working relationships across all levels of the organization.
  • Other duties as needed or assigned.


Requirements

Education & Experience Requirements:
  • Associate's degree or equivalent professional experience.
  • Minimum 5 years of experience supporting senior executives, business leaders, or C-suite executives.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.
  • Excellent organizational, time management, and multitasking skills.
  • Outstanding written and verbal communication skills.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
  • Ability to travel as required.

Work Environment/Physical Requirements:

The physical demands of are generally light and primarily aligned with office-based work unless visiting operational facilities/sites.

Specific requirements include:
  • Extended periods of sitting at a desk and working on a computer or other digital devices.
  • Frequent use of hands for typing, writing, and handling office equipment.
  • Occasional walking during on-site visits to different areas within the organization.
  • Active listening and clear speech are essential for effectively supporting and coaching leaders and employees.
  • Ability to lift, carry, or move up to 25 pounds
  • Ability to wear all required personal protective equipment as required
  • Exposure to varying weather conditions, including extreme heat, cold, rain, and wind if on location
