ROLE OVERVIEWPURPOSE OF JOBThis position is for anExecutive Assistant/Office Manager for the Boston office.
We are seeking a highlyorganized, proactive, and detail-oriented Executive Assistant / Office Managerto support our leadership team and oversee day-to-day office operations. Thisis an excellent opportunity for a motivated early-career professional to gainhands-on experience in executive support, administration, and businessoperations within a fast-paced, collaborative environment.
MAIN RESPONSIBILITIES AND DUTIES- Provide direct administrative support to senior executives, such as writing and editing e-mails, drafting memos, presentations, and preparing communications on the executive's behalf.
- Prepare and edit correspondence, presentations, reports, and meeting materials.
- Manage confidential information with discretion and professionalism.
- Track action items, deadlines, and follow-ups from leadership meetings.
- Organizing domestic and international travel arrangements and accommodations for team members and executives.
- Maintain office and kitchen inventory, including ordering and stocking supplies, and ensuring all equipment is in working order.
- Maintaining comprehensive and accurate records/ budgeting.
- Managing executive/s monthly expenses, office expenses, outgoing mail, deliveries and shipments.
- Organizing meetings, including scheduling, sending reminders, and occasionally organizing catering.
- Assist/manage planning and execution of team events, meetings and offsites.
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department.
- Serve as the primary point of contact for facilities, vendors, and office service providers.
- Support onboarding of new hires and coordinate with HR on administrative matters.
- Managing multiple conference rooms and executive calendars, prioritizing the most sensitive matters.
- Provide assistance with ad hoc project and initiatives.
- Always represents JTC in a professional manner, displaying the ethical behavior we expect in all interactions, both internal and external.
- Adhere to JTC core values and expected behaviors.
- Any other duties as deemed necessary by Management.
ESSENTIAL REQUIREMENTS- Associate or bachelor's degree preferred.
- 2-5 years in an administrative, coordinator, or assistant role (internships included).
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with complex scheduling/calendar management preferred.
- Strong verbal and written communication.
- Ability to interact with executives, staff, and external stakeholders professionally.
- Excellent organizational skills with the ability to manage multiple priorities effectively.
- Proven ability to handle sensitive and confidential information with absolute discretion.
- Strong attention to detail.
- Problem-solving abilities.
- Experience supporting senior leadership or C-suite executives preferred.
- Familiarity with travel arrangements and expense reporting.
- Event planning experience preferred.
The expected salary range for this position is $75,000 - $110,000 per year, based on experience and qualifications.
