Full Job Description
We are seeking a highly organized, proactive, and detail-orientedExecutive Assistant to support our Chief of Corporate Affairs in a fast-paced, scaling environment. This role acts as a strategic administrative partner, ensuring seamless coordination of executive priorities while supporting cross-functional initiatives. The position may interface with senior leaders, U.S. government stakeholders, industry partners, and media contacts, requiring exceptional discretion, professionalism, and sound judgment in high-visibility settings.

Responsibilities

Executive Support & Operations
  • Manage complex and sensitive calendars, prioritizing executive time in alignment with strategic objectives and external commitments
  • Prepare, review, and refine briefing materials, correspondence, talking points, reports, and presentations
  • Track key initiatives, action items, and cross-functional deliverables

Travel & Logistics
  • Coordinate domestic and international travel, including secure, high-profile itineraries
  • Manage travel, logistics, and preparation for customer-facing activities, client meetings, and conferences

Stakeholder & Event Coordination
  • Support preparation for board meetings, government engagements, media interactions, and executive conferences
  • Organize executive participation in events, including vendor coordination, on-site support, and ensuring professional and accurate materials

Recruiting Support
  • Coordinate candidate interviews with hiring teams, and internal training or leadership development sessions
  • Assist with recruiting communications, interview documentation, and scheduling alignment between hiring managers and recruiting teams

Go-to-Market (GTM) Support
  • Provide scheduling and travel coordination support for the Go-to-Market leaders, including sales, partnerships, and customer success teams
  • Assist with logistics for customer meetings, industry events, and conferences aligned to revenue-generating activities
  • Ensure alignment and efficiency across Executive, GTM, and external stakeholder calendars

Confidentiality & Professionalism
  • Handle sensitive information with the highest level of discretion
  • Maintain professionalism and discretion while handling sensitive information in high-visibility environments


Qualifications
  • 4+ years supporting senior executives in dynamic, high-accountability environments
  • Experience working with government stakeholders, media representatives, or highly regulated industries preferred
  • Expertise in complex calendar management and multi-party scheduling
  • Experience coordinating domestic and international travel
  • High proficiency in Microsoft Office and Google Workspace
  • Strong organizational skills, attention to detail, and written and verbal communication
