Job Description

This position is located at Shake Shack's New York City Support Center. It supports our Chief Legal Officer (and other senior members of the Legal team) and our Chief Financial Officer.

You'd be a key member of a dynamic, fast-paced team that serves as a center of excellence for the enterprise, partnering with leadership across lines of business. You're a calm head and steady hand to deal with everyday challenges and the unexpected.

This role is in office 4 days a week mininum.

Essential Job Duties and Responsibilities

Administrative & Calendar Management (30%)
  • Interface directly with other senior executives and their support teams to calendar key meetings.
  • Understand each day's priorities so you can be strategic about how you direct inquiries and requests.
  • Prepare agendas, materials, notes and key next steps for large cross-functional meetings.


Document Management (20%)
  • Prepare documents for execution and distribution
  • Review, sort, and distribute all department mail
  • Print, photocopy, scan, and/or save documents
  • Maintain and update database for department documents


Travel Coordination (15%)
  • Create a multi-city travel itinerary, taking into account time zones, weather delays, traffic and fatigue levels.
  • Coordinate these schedules between executives based in multiple cities.


Expense & Vendor Management (15%)
  • Support expense reports and execute signatures/approvals for vendor contracts, purchase orders, etc.


Event Planning (10%)
  • Plan and execute high profile events, including quarterly earnings calls and investor meetings
  • Plan department meetings and social events


Efficiency & Executive Support (10%)
  • Champion efficiency, executive time and a willingness to go the extra mile without being asked.


Minimum Qualifications

Education:
  • Bachelor's Degree in Business, Communications, or a related field


Work Experience:
  • 2-4 years of relevant experience
  • At least 3 years supporting a Vice President or higher-level executive.
  • At least 3 years supporting multiple executives, preferably in different departments


Skills & Competencies:
  • Solid written and verbal communication skills, including strong grammar and a rich vocabulary
  • Ability to multi-task and prioritize deadlines/deliverables.
  • Excellent judgment, discretion and common sense
  • Intellectual curiosity to learn about the Legal and Finance team's work and the Shake Shack business as a whole
  • Strong proficiency with all types of computers, phones, and equipment, as well as Microsoft Office programs
  • Must demonstrate a sense of urgency and ownership to drive issues and tasks to completion
  • Excellent attention to detail and accuracy
  • Excellent organizational and planning skills
