Job Description Summary

This position provides high-level administrative support to executives within a large organization, requiring a proactive, detail-oriented professional who can effectively manage complex and dynamic priorities in a fast-paced environment. The role involves owning end-to-end calendar strategy, coordinating intricate travel logistics, preparing executive-ready materials, and ensuring seamless execution of meetings and business activities. This individual will anticipate needs, proactively identify and resolve scheduling challenges, and support key business rhythms through advanced planning, agenda coordination, and follow-through on action items. The ideal candidate thrives in a fast-paced environment, exercises strong judgment and discretion, and operates with a high degree of autonomy while maintaining alignment with executive priorities.

Compensation: Target rate for this role is between $43 and $45 an hour along with a 5% bonus.

Key Responsibilities
  • Own end-to-end calendar strategy for multiple executives, proactively managing competing priorities, resolving conflicts, and optimizing schedules to ensure alignment with business objectives and effective use of time.
  • Coordinate complex domestic travel arrangements, including detailed itineraries, logistics, and contingency planning to ensure seamless execution.
  • Lead planning and execution of executive meetings and business rhythms, including agenda development, coordination of presenters, preparation of materials, and ensuring all sessions are structured, clearly documented, and aligned to objectives.
  • Prepare high-quality, executive-ready presentations and materials that effectively communicate key messages and support business initiatives.
  • Proactively anticipate executive needs, identifying potential scheduling, logistical, or operational challenges in advance and implementing solutions with minimal direction.
  • Drive action item tracking and follow-up, capturing key outcomes from meetings, ensuring clarity on ownership and timelines, and supporting timely completion.
  • Serve as a key point of coordination across stakeholders, ensuring clear communication, alignment, and follow-through across internal and external partners.
  • Maintain highly organized and accurate records, files, and documentation, ensuring information is readily accessible and up to date.
  • Support event planning and execution, including leadership meetings, team events, and other business functions, ensuring all logistical and material needs are met.
  • Manage expense reporting, budget tracking support, and administrative operations, ensuring accuracy, timeliness, and compliance with company policies.
  • Operate with a high degree of professionalism, discretion, and judgment, handling sensitive information and interactions with care and confidentiality.


Minimum Requirement

Typically requires 6+ years of related experience.

Education

High school diploma or equivalent required; associate's degree preferred.

Critical Skills
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Copilot).
  • Excellent communication skills, both verbal and written.
  • Strong organizational abilities and attention to detail.

This role is a hybrid position. The selected candidate is expected to work on-site at our Las Colinas office a minimum of two (2) days per week, with the remaining days worked remotely. Specific in-office days may be designated based on team needs and business priorities.
