The Executive Assistant to the Chief Financial Officer provides high-level, confidential administrative and operational support to the CFO, CFO Leadership Team, and broader CFO organization. This role requires strong judgment, professionalism, discretion, and the ability to manage sensitive information related to Board matters, financial reporting, corporate transactions, executive communications, investors, auditors, bankers, and other internal and external stakeholders.
The role serves as a trusted partner to the CFO by anticipating needs, managing complex calendars and priorities, coordinating executive and Board-related materials, and supporting the effective operation of the CFO function.
Responsibilities- Provide high-level administrative and operational support to the CFO, CFO Leadership Team, and broader CFO organization, including complex calendar management, meeting coordination, travel planning, expense reporting, and prioritization of daily activities.
- Support the effective operation of the CFO function by coordinating leadership team meetings, agendas, materials, action items, follow-ups, and offsites.
- Coordinate Audit Committee-related activities, including meeting logistics, timelines, materials, approvals, follow-up items, and maintenance of corporate records.
- Handle highly confidential and sensitive information with discretion, including matters related to financial results, corporate strategy, compensation, organizational changes, corporate financings, investor matters, audits, and Board discussions.
- Serve as a key liaison between the CFO, CFO Leadership Team, executive assistants, internal stakeholders, Board members, auditors, investors, bankers, consultants, vendors, and other external partners.
- Support quarterly and annual business processes, including Board and Committee preparation, earnings-related activities, audit timelines, SOX documentation, budget cycles, and other CFO organization deliverables.
- Prepare, edit, format, and proofread executive-level presentations, reports, agendas, correspondence, meeting materials, and other internal and external communications.
- Manage logistics for internal and external meetings, including executive meetings, investor meetings, auditor meetings, Board-related sessions, executive offsites, and cross-functional working meetings.
- Support special projects, due diligence activities, process improvements, documentation management, team engagement, onboarding, and other initiatives that enable the CFO organization to operate effectively.
- Exercise sound judgment, discretion, and independent decision-making when managing competing priorities, sensitive matters, scheduling conflicts, and time-sensitive deliverables.
Qualifications- AA/BA degree is preferred
- 10 plus years administrative experience, at least 4 years spent working with executives including direct line responsibility to a "C-level" executive, in a public company
- Experience supporting Board of Directors, Board Committees, auditors, investors, bankers, or other senior external stakeholders preferred.
- Prior experience in biotech, life sciences, pharmaceutical, or another highly regulated/public company environment strongly preferred.
- Strong understanding of confidentiality expectations, including handling sensitive financial, corporate, legal, compensation, and organizational information.
- Excellent calendar management, prioritization, written communication, and organizational skills.
- Ability to operate with professionalism, discretion, urgency, and sound judgment in a fast-paced environment.
- Strong attention to detail and ability to manage multiple deadlines, stakeholders, and competing priorities.
- Proficiency with Microsoft Office, Teams, Outlook, Box/SharePoint, expense systems, travel tools, and Board portal or governance platforms preferred.

Pay Range:In the U.S., the hiring pay range for fully qualified candidates is $128,970-$150,465 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors.
