Executive Assistant to the Chief Executive OfficerPosition Overview Our client is seeking an experienced Executive Assistant to provide high-level administrative support to the Chief Executive Officer. This individual will serve as a trusted business partner, managing complex schedules, travel logistics, executive communications, and confidential business matters. The ideal candidate is proactive, detail-oriented, highly organized, and thrives in a fast-paced executive environment while anticipating leadership needs.
Key Responsibilities - Manage the CEO's complex calendar, appointments, meetings, and shifting priorities.
- Coordinate domestic and international travel, including commercial and private air travel, accommodations, ground transportation, and travel documentation.
- Manage executive correspondence and respond on behalf of the CEO when appropriate.
- Prepare presentations, reports, meeting materials, and executive communications.
- Coordinate board meetings, leadership meetings, and special events, including agendas, meeting minutes, and follow-up on action items.
- Support strategic initiatives and special projects while tracking timelines, deliverables, and key milestones.
- Process executive expenses, invoices, and provide general administrative support.
- Maintain highly confidential records and sensitive information with the utmost discretion.
- Serve as a liaison between executive leadership, internal departments, external business partners, vendors, and clients.
- Provide leadership and oversight to an Administrative Assistant.
Qualifications - Bachelor's degree preferred.
- 5-10 years of Executive Assistant experience supporting C-suite or senior executive leadership.
- Advanced proficiency with Microsoft Office Suite and expense management software (such as Concur).
- Exceptional written and verbal communication skills.
- Outstanding organizational, time management, and multitasking abilities.
- Demonstrated ability to exercise sound judgment and maintain strict confidentiality.
- Professional, resourceful, and proactive with a strong sense of ownership and problem-solving ability.
- Notary certification is preferred, or willingness to obtain one if required.
Physical Requirements - Primarily office-based work environment with frequent interruptions and changing priorities.
- Ability to sit, stand, and walk throughout the workday.
- Ability to occasionally lift up to 25 pounds.
- Frequent use of standard office equipment and computer systems.
