Your role:
The Executive Administrative Assistant provides high-level administrative support to the Canada Head ITT & Pharma and Director, Human Resources as well as two other leaders. The Executive Admin provides high-level administrative and operation support to senior leadership requiring exceptional organizational skills, discretion, strong communication abilities, and the capacity to manage multiple priorities simultaneously. The Executive Admin acts as a trusted partner ensuring the efficient coordination of scheduling, communications, and confidentiality of key business activities.
What you'll be doing:
Provide administrative support for meetings and events including but not limited to Senior Management Team Meetings, Town Hall/Kick Off Meetings, National Sales Meeting, Cycle Meetings etc.
Build agendas and manage meeting logistics for in-person and virtual attendees, taking meeting minutes and communicating accountabilities for follow-up actions
Manage shared drive to assemble meeting communications
Create purchase orders and process invoices for business functions
Reconcile and manage corporate cards as per company guidelines
Develop and distribute communications on behalf of leadership
Manage distribution email lists, update org charts
Coordinate e-signature workflows and document approvals
Manage catering for onsite meetings and events
Coordinate projects, events, and HR initiatives
Preparing reports and dashboards for leaders
What you'll bring:
Bachelor’s Degree in Business Administration or related field
Minimum 3 years of experience supporting senior executives
Exceptional organizational and time management skills
Advanced proficiency in Microsoft Office tools (PowerPoint, Word, Excel, Outlook, Access); document management experience a plus
Excellent written and verbal communication skills, including interaction with senior-level internal and external stakeholders
Proven experience with invoicing, expense reporting, meeting planning, and calendar management
Experience supporting global teams and/or technical organizations highly desired

The estimated salary range for this position is $89,600 - $134,400.00 CAD annually, which reflects base salary as well as estimated target payout under the Management Incentive Compensation Plan. Individual pay will be determined based upon skills, expertise and experience, and the incentive, which is contingent upon company and individual performance outcomes.
