About the Role

We're looking for an exceptional Executive Ops partner to be the backbone for our CEO. This is not a traditional admin role. You'll be a true partner to Ellen - anticipating her needs before she voices them, protecting her time with intentionality, and ensuring she operates at the speed and standard WellTheory demands.

This role reports directly to the CEO and sits at the center of everything: board communications, investor relationships, hiring decisions, team offsites, and the day-to-day operational rhythm of a scaling healthcare startup.

What You'll Do

Calendar & Time Management
  • Own the CEO's calendar end-to-end - scheduling, prioritizing, and protecting time for deep work and strategic thinking
  • Proactively resolve scheduling conflicts and make smart trade-offs without needing to escalate every decision
  • Build prep briefs ahead of important meetings - background on attendees, key talking points, pre-reads

Communication & Correspondence
  • Triage the CEO's inbox and Slack daily - handle what you can, flag what requires Ellen's attention, draft responses for her review
  • Draft high-quality external communications: emails to investors, board members, partners, and candidates that are crisp, professional, and on-brand
  • Serve as the primary point of contact for people trying to reach the CEO - with warmth, professionalism, and appropriate discretion

Travel & Logistics
  • Book and manage complex, multi-city travel - flights, hotels, ground transport, conference logistics, and detailed itineraries
  • Anticipate travel-related complications and have contingency plans ready
  • Manage post-trip expense reconciliation

Follow-Through & Project Support
  • Maintain a live view of the CEO's open commitments, promises made, and things owed - follow up proactively before they become problems
  • Support cross-functional projects where the CEO is a stakeholder - track status, flag blockers, keep things moving
  • Handle ad hoc research, briefings, and special projects as needed

Operations & Tools
  • Maintain and organize the CEO's Notion workspace - action lists, meeting notes, reference docs
  • Use Claude and other AI tools to work faster and smarter: drafting communications, synthesizing research, building templates
  • Identify opportunities to systematize repetitive work and continuously improve how the CEO's office runs
