ROLE SUMMARY:The Production Project Manager must be able to anticipate project needs, discern work priorities, and meet deadlines. The Production Project Manager should have a passion for special event management, provide outstanding communication to h.wood staff, vendors and event attendees and volunteers, be an enthusiastic professional, and be capable of building strong and positive relationships with clients and partners.
KEY RESPONSIBILITIES:- Administrative Ownership
- Maintain and enforce use of project trackers, production timelines, and budget documents in Excel or Project management software.
- Oversee all data entry and file organization in Tripleseat and shared drives, ensuring accuracy and version control.
- Manage all vendor contracts, invoices, and expense documentation; reconcile budgets post-event.
- Compile weekly reports on active projects, spending, and deliverables for leadership.
- Budget & Reporting
- Build and maintain event and production budgets with precise attention to detail.
- Enforce financial controls, ensuring every expense is pre-approved and properly logged.
- Analyze cost efficiencies and track event ROI through post-event reporting and KPI dashboards.
- Process & Compliance
- Ensure internal production protocols are followed consistently across all venues and projects.
- Serve as the point of accountability for deadlines, vendor performance, and deliverable quality.
- Implement standardized forms and templates for all production functions.
- Production Support
- Coordinate logistics for shipping, staffing, travel, and on-site setup.
- Support deck building and client-facing presentations with organized content and accurate data.
- Anticipate operational needs and communicate proactively with internal teams and venue partners.
QUALIFICATIONS:- Proven experience in production, operations, or event project management.
- Advanced Excel proficiency (pivot tables, formulas, budget modeling required).
- Highly organized, analytical, and detail-oriented with a strong sense of accountability.
- Skilled in administrative systems (Tripleseat, Microsoft Office Suite, etc.).
- Excellent communication and follow-through skills - able to "chase down" missing details.
- Confident enforcing process and timelines with both internal teams and external vendors.
- Bachelor's degree in hospitality, business, or related field preferred.

Pay Range: $90,000 - $110,000 per year
