ROLE OVERVIEW

The Automotive Event Producer supports the Facilitator/Trainer by managing logistics, coordination, and on-site execution for in-person training events designed to elevate adoption of the Service Connect system. This role ensures each session runs smoothly so the Facilitator can focus on curriculum delivery, learner engagement, and consultative software and service processes.

CORE RESPONSIBILITIES Event Planning & Logistics
• Coordinate logistics for in-person training sessions, including schedules, venue setup, room readiness, and materials management.
• Develop and maintain event timelines, run-of-show documents, checklists, and contingency plans.
• Prepare training rooms and meeting spaces to create a professional, engaging learning environment.
• Manage shipping, receiving, inventory, setup, and breakdown of training materials, handouts, signage, and equipment.
• Confirm participant rosters, registration details, attendance tracking, and session readiness before each event.

Facilitator Support
• Partner closely with the Facilitator/Trainer to ensure all event elements support successful curriculum delivery.
• Provide on-site production support during sessions, including room readiness, participant flow, timing, transitions, break management, and real-time issue resolution.
• Serve as the primary logistics point of contact so the Facilitator can remain focused on instruction and learner engagement.
• Assist with distributing materials, coordinating exercises, and supporting interactive activities as directed.

Stakeholder & Participant Coordination
• Communicate event details clearly with internal teams, client contacts, venues, vendors, and attendees before, during, and after each session.
• Partner with the Project Manager and Facilitator to build strong relationships across regional organizational levels.
• Support the participant experience by addressing logistics-related questions, including schedules, travel, event expectations, and session flow.
• Participate in occasional client meetings as needed.

Production Execution & Reporting
• Troubleshoot event issues in real time, including scheduling conflicts, room changes, materials shortages, A/V challenges, and technology issues.
• Test and ensure training technology, presentation tools, internet connectivity, and event resources are functioning before each session.
• Capture attendance, event notes, action items, and post-session feedback.
• Provide post-event recap information to the Project Manager and Facilitator, including logistics outcomes, issues, recommendations, and improvement opportunities.

Qualifications
• 3-5+ years of experience in event production, training coordination, field operations, program logistics, or a related role.
• Experience supporting live training events, workshops, roadshows, multi-site programs, or similar in-person learning environments.
• Strong project coordination and event execution background.
• Ability to manage multiple moving parts, shifting priorities, and fast-paced event environments.
• Experience working with client-facing teams, vendors, and cross-functional stakeholders.
• Background in automotive, retail operations, dealership environments, or field training support preferred.
• Valid driver's license required.

Technical Requirements
• Proficiency with presentation platforms, meeting tools, spreadsheets, shared calendars, communication platforms, registration tools, and event tracking documents.
• Ability to set up, test, and manage training technology, including laptops, projectors, screens, microphones, speakers, presentation tools, and internet connectivity.
• Comfort managing training logistics while supporting operating presentation tools and event technology during live sessions.

Physical & Scheduling Requirements
• Ability to lift up to 25 lbs.
• Ability to stand and move for extended periods, often up to 8 hours per day.
• Ability to set up, arrange, move, and break down training equipment, materials, signage, handouts, and furniture for various room configurations and activities.
• Ability to move throughout the training room or venue to support participants, facilitators, and vendors.
• Ability to speak clearly and coordinate with groups, vendors, and stakeholders for extended periods.
• Must be able to support multi-day sessions requiring sustained energy.
• Early arrival and post-session breakdown are required.
• Must be able to manage break timing, travel time between locations, and time zone considerations for multi-location training events.

Travel Requirements
• Travel up to 90% for the duration of the project
• Possess valid driver's license

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, and other business and organizational needs. The disclosed range estimate may not have been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At MSXi, it is not typical for an individual to be hired at the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current daily range is $400 to $600 based on current experience.
