Summary:
The Equipment Planner supports medical equipment planning, documentation, coordination, and implementation for Rush University System for Health capital projects, renovations, equipment replacement initiatives, and clinical technology deployments. Reporting through Clinical Engineering and working closely with PDC partners, this role helps ensure medical equipment needs are accurately identified, budgeted, specified, coordinated, procured, installed, and activated in alignment with project scope, clinical operations, infrastructure requirements, and enterprise standards.
The position supports room-by-room equipment planning, existing equipment assessments, project documentation, user group preparation, vendor coordination, budget tracking, procurement support, delivery planning, and go-live readiness. The Equipment Planner works collaboratively with Clinical Engineering, PDC, Supply Chain, IT, clinical stakeholders, architects, engineers, contractors, and vendors to ensure that the right equipment is available in the right location, at the right time, with the required infrastructure and support.

Required Job Qualifications:
• Associate's degree or bachelor's degree in Biomedical Equipment Technology, Biomedical Engineering, Healthcare Administration, Business, Supply Chain, Construction Management, Engineering, Architecture, Project Management, or related field.
• Minimum of 2 to 4 years of experience in healthcare equipment planning, clinical engineering, biomedical equipment services, healthcare supply chain, construction project coordination, facilities, healthcare operations, or a related field.
• Knowledge of medical equipment, hospital operations, capital projects, asset inventory processes, procurement coordination, or equipment lifecycle management.
• Ability to manage multiple priorities, maintain accurate documentation, and coordinate across multiple stakeholders.
• Proficiency with Microsoft Excel, PowerPoint, Word, Outlook, and project tracking tools.
• Strong communication, organizational, analytical, and problem-solving skills.
Preferred Job Qualifications:
• Bachelor's degree in a related field.
• Experience in an academic medical center, health system, hospital construction project, renovation project, or clinical engineering environment.
• Experience with CMMS systems, equipment databases, capital planning tools, healthcare procurement systems, or project management platforms.
• CBET, CAPM, Lean Six Sigma Yellow Belt/Green Belt, or other relevant certification.
• Basic understanding of medical equipment infrastructure requirements, including power, data, medical gas, plumbing, mounting, shielding, and vendor installation needs.
• Familiarity with healthcare regulatory, safety, infection prevention, and operational readiness requirements.
Physical Demands:
• Primarily office, hybrid, and project-site work as operationally required.
• Ability to participate in user group meetings, design reviews, site walks, mockups, construction meetings, vendor coordination meetings, and activation planning sessions.
• Ability to review equipment documentation, drawings, equipment plans, cut sheets, procurement logs, schedules, and project tracking materials for extended periods.

Responsibilities:
• Support the development and maintenance of project equipment lists, room-by-room plans, budgets, schedules, procurement logs, and implementation trackers.
• Assist in validating equipment needs with clinical departments, operational leaders, Clinical Engineering, and PDC project teams.
• Gather and maintain equipment information, including manufacturer, model, quantity, location, condition, age, cost, lead time, utility requirements, accessories, service needs, and installation requirements.
• Support existing equipment surveys, field walks, photo documentation, asset validation, reuse assessments, and relocation planning.
• Maintain accurate and organized equipment planning documentation throughout project phases.
• Participate in user group meetings, design reviews, site walks, mockups, construction meetings, vendor coordination meetings, and activation planning sessions.
• Assist in reviewing drawings, equipment plans, cut sheets, vendor information, and room layouts for accuracy and completeness.
• Coordinate with architects, engineers, contractors, and vendors to confirm space, power, data, medical gas, plumbing, structural, mounting, ventilation, shielding, and installation requirements.
• Help identify equipment-related risks, missing infrastructure, delivery constraints, installation concerns, and workflow issues.
• Support project teams by tracking equipment questions, decisions, changes, and follow-up items.
• Partner with Supply Chain, Clinical Engineering, PDC, IT, Finance, and vendors to support quote collection, purchase requests, procurement timing, delivery coordination, and installation planning.
• Track procurement milestones, long-lead equipment, delivery schedules, vendor installation dates, and dependencies with construction and activation timelines.
• Assist with receiving coordination, staging, asset tagging, equipment setup, installation verification, testing, acceptance, and go-live readiness.
• Support warranty documentation, service information, preventive maintenance setup, and inventory updates for new or relocated equipment.
• Assist with project closeout documentation, final equipment reconciliation, and lessons learned.
• Use Clinical Engineering asset data and project requirements to support recommendations for reuse, replacement, redeployment, retirement, or standardization.
• Assist in identifying opportunities to avoid unnecessary purchases, reduce rentals, validate requested quantities, and redeploy existing assets where appropriate.
• Support capital planning by providing accurate information on equipment condition, replacement needs, utilization, and project-related impacts.
• Help maintain Rush equipment standards, room templates, and project planning tools.
• Support reporting on equipment planning value, including reuse opportunities, avoided purchases, equipment redeployments, and budget variances.
• Build effective working relationships with Clinical Engineering, PDC, Supply Chain, IT, Finance, Facilities, clinical departments, and external partners.
• Communicate equipment planning status, risks, issues, and decisions clearly and timely to project stakeholders.
• Prepare meeting materials, equipment reports, action logs, budget summaries, and planning updates.
• Escalate project risks, equipment changes, budget concerns, or schedule conflicts to the Senior Equipment Planner, System Director of Clinical Engineering, or project leadership as appropriate.
