About the jobAs a key member of the clinical leadership team, the Enrollment Manager owns the day-to-day performance of Vynca's patient enrollment engine. This is a hands-on, metrics-driven leadership role accountable for hitting daily outreach targets - projected call volume, reach rate, and enrollment numbers - that fuel our expansion projects.
The Enrollment Manager directly supervises an Enrollment RN, Enrollment Medical Assistants, Outreach Specialists, and an in-person Clinical Liaison. Success in this role requires close attention to detail, comfort living in the data every single day, and the ability to coach a team toward measurable outcomes while ensuring every patient interaction reflects Vynca's clinical standards and compassion.
This is a remote position with up to 25% travel required for trainings, meetings, and other business needs. At this time we are only considering applicants in the following states: Arizona, California, Colorado, Florida, Georgia, Illinois, Nevada, North Carolina, Oregon, Texas, Utah, and Washington.
What you'll doOwn daily outreach and enrollment performance
- Own daily, weekly, and monthly outreach and enrollment targets, including projected call volume, reach rate, conversion rate, and net new enrollments for assigned expansion markets
- Monitor outreach performance in real time throughout the day; identify shortfalls early and redirect team effort before the day is lost
- Lead a daily enrollment huddle to review prior-day results, current-day call targets, priority lists, and barriers
- Manage outreach list hygiene, call cadence, attempt rules, and time-of-day strategy to maximize reach rate
- Partner with the reporting team to develop and refine dashboards and reports that make individual and team performance visible daily
- Produce accurate daily and weekly reporting to clinical, growth, and executive leadership; escalate risk to enrollment projections promptly and with a recovery plan
- Partner with clinical and growth leadership to translate expansion project goals into staffing plans, daily volume requirements, and individual productivity expectations
- Collaborate with Marketing and senior leadership to develop and test strategies that increase reach and enrollment rates, including messaging, outreach materials, scripting, and campaign timing; share field feedback on what is and isn't resonating with patients and referral sources
Lead and develop the enrollment team
- Directly supervise and develop the Enrollment RN, Enrollment Medical Assistants, Outreach Specialists, and in-person Clinical Liaison; complete annual performance reviews
- Set clear, quantified individual performance expectations and manage to them through daily visibility, weekly 1:1s, and timely coaching or performance management
- Oversee the in-person Clinical Liaison's field activity, including referral source engagement, on-site enrollment support, and coordination with market partners
- Ensure the Enrollment RN's clinical screening, eligibility review, and consent conversations meet clinical quality and documentation standards
- Monitor and coach call quality through regular call reviews and side-by-side observation; deliver scripting and objection-handling feedback
- Develop and assist in onboarding and training of newly hired enrollment staff; serve as mentor and preceptor for new and existing team members
- Ensure adequate daily outreach coverage across time zones and manage call-offs, PTO, and schedule changes to protect daily volume
Drive quality, compliance, and scalability
- Ensure accurate and timely documentation of all outreach attempts, eligibility determinations, consents, and enrollments
- Ensure team regulatory compliance (state license renewal, certification check-offs, HIPAA, consent and telephonic outreach requirements)
- Conduct routine audits of enrollment records to verify eligibility accuracy, documentation completeness, and adherence to enrollment workflows
- Identify, troubleshoot, and resolve workflow issues that limit reach rate, conversion, or speed to enrollment
- Support program improvements, standardization, and scalability so enrollment workflows hold up as new markets launch
- Collaborate with Providers, clinical teams, and health plan or referral partners to ensure a smooth handoff from enrollment to ongoing care
- Provide direct outreach, screening, or patient care delivery as needed to support organizational goals
- Limited travel may be required for training, meetings, market launches, and other business needs
Your experience and qualifications- Willing and able to work Monday through Friday, with responsibility for outreach coverage spanning 8:00am Eastern Time through 5:30pm Pacific Time, and flexibility for potential evenings and weekends
- Active, unrestricted Registered Nurse (RN) license with the ability to obtain California licensure within 6 months of hire, plus ability to obtain additional state licensure as needed
- 2 years of people management experience
- 5 years in a direct care delivery role as a Registered Nurse, including at least 2 years of experience in palliative care, hospice care, or complex care management
- Demonstrated experience managing to daily production or outreach metrics - call volume, reach rate, conversion, or enrollment targets
- Highly detail-oriented with strong data fluency; able to build, read, and act on reports and dashboards without waiting to be handed the numbers
- Proven, results-driven leader with experience in change management in rapid-growth environments
- Strong organizational and independent working skills
- Proficient in Microsoft and Google applications; Salesforce experience strongly preferred
- Excellent communication and motivational skills, including conflict resolution techniques
Preferred Qualifications
- Experience launching or scaling enrollment, intake, or patient acquisition functions in a new market
- Experience overseeing telephonic outreach or call center operations in a healthcare setting
- Experience managing field-based or in-person liaison staff
- Working knowledge of lean Six Sigma methodology
- CHPN certification
