Full Job Description
Reporting to the Sr. Manager, Technology, the eDiscovery Case Manager will play a pivotal role in managing the end-to-end electronic discovery process for legal matters, investigations, and compliance initiatives. This individual will act as a critical liaison between legal teams, IT professionals, and external vendors, ensuring that Electronically Stored Information (ESI) is identified, collected, processed, reviewed, and produced in a defensible, efficient, and cost-effective manner. The successful candidate will demonstrate technical expertise, strong project management skills, and the ability to provide strategic advice to legal teams on eDiscovery best practices.

This role requires a proactive, detail-oriented professional who thrives in a collaborative environment and is comfortable working under tight deadlines. The eDiscovery Case Manager will work closely with other members of the Osler Works - Disputes (OWD) team, including the Head of OWD, Review Managers, Lawyers, Litigation Support Specialists, and other Case Managers, to deliver exceptional results.

Major Responsibilities

eDiscovery Project Management

  • Coordinate the entire eDiscovery lifecycle, including identification, preservation, collection, processing, review, analysis, and production of ESI
  • Act as a bridge between legal teams, IT, and external vendors, ensuring seamless communication and collaboration throughout the eDiscovery process
  • Develop and manage project timelines, budgets, and workflows to ensure that all deliverables are completed on time and within scope
  • Work closely with Review Managers to ensure document review deadlines and targets are met
  • Monitor and enforce adherence to eDiscovery best practices, defensible methodologies, and applicable legal and regulatory requirements
  • Provide regular updates and reports to legal teams and clients regarding project status, risks, and key milestones


Technical Expertise and Support

  • Handle technical aspects of eDiscovery, including data collection, applying search queries (e.g., Boolean searches), preparing document productions, and managing databases such as Relativity
  • Work closely with Litigation Support Specialists to process, ingest, and produce documents and ESI from Relativity and other Review platforms
  • Assist with the implementation of defensible data collection methods, both by advising on best practices and by conducting on-site collections when necessary
  • Troubleshoot technical issues related to eDiscovery tools and processes, leveraging advanced troubleshooting skills and technical knowledge
  • Create and maintain detailed documentation of workflows, processes, and project-specific protocols


Collaboration and Teamwork

  • Work closely with other members of the OWD team
  • Collaborate with legal teams and firm clients to understand case-specific requirements and provide tailored eDiscovery solutions
  • Assist with custodian interviews to determine the universe of relevant documents and data sources
  • Provide advice and direction to legal staff and lawyers on eDiscovery matters, including technical workflows, defensible methodologies, and cost-effective strategies


Document Review and Analysis

  • Support document review and coding efforts, ensuring accuracy and consistency across the review team
  • Generate reports and analytics for legal teams to assist with case strategy and decision-making
  • Assist in quality control (QC) processes to ensure the integrity and accuracy of document productions


Flexibility and Availability

  • Working requirement of one day in-office (minimum) and 4 days remote
  • Maintain flexibility in work hours to accommodate urgent deadlines, including availability for onsite requirements and weeknight/weekend overtime as required


Position Requirements

Education and Experience

Community College diploma in Information Technology or equivalent with at least three years of experience working as an eDiscovery Analyst, Case Manager, or in a similar role. An equivalent combination of education, training and experience will also be considered.

Knowledge and Skills

  • Proficiency in managing eDiscovery platforms, particularly Relativity, and other document review tools
  • Advanced knowledge of Microsoft Office Suite, including Excel (e.g., pivot tables, advanced formulas, macros)
  • Experience with programming or scripting languages (e.g., SQL, Python) is an asset
  • Strong troubleshooting skills, with the ability to diagnose and resolve technical issues independently
  • Exceptional organizational skills, with the ability to manage multiple tasks and prioritize effectively under tight deadlines
  • Detail-oriented mindset, ensuring accuracy and consistency across all aspects of eDiscovery projects
  • Strong problem-solving and critical thinking skills, with the ability to anticipate and mitigate risks
  • Excellent verbal and written communication skills, with the ability to interact professionally with clients, lawyers, paraprofessionals, and external vendors

Compensation:

The range of expected compensation for this position is $120,000-$140,000 annually. Compensation offered will be based on a variety of factors including job-related knowledge, education, skills and experience.
