Scope
The Documentation Specialist II serves as the liaison between the Project Team (PT) and Operations to ensure all documentation required for commissioning, start-up, and long-term operations is complete, accurate, and delivered on schedule. This role is responsible for developing and executing the Documents for Operations (DFO) strategy, coordinating documentation handover activities, and ensuring contractor and supplier deliverables meet ExxonMobil requirements. The position also supports information management processes, document quality, EDMS (UDocs) compliance, and operational readiness throughout the project lifecycle.

Key Responsibilities
  • Coordinate documentation efforts between Project Teams and Operations to support successful project handover.
  • Develop and execute the Documents for Operations (DFO) strategy.
  • Ensure contractor and supplier documentation complies with contractual and company requirements.
  • Interface with project stakeholders to identify start-up, integrity-critical, and operations-ready deliverables.
  • Plan and facilitate DFO workshops, training sessions, and stakeholder meetings.
  • Provide guidance on DFO requirements and resolve documentation issues and deviations.
  • Monitor documentation review progress from contractors through project turnover and final handover to Operations.
  • Identify documentation gaps and work with stakeholders to develop solutions.
  • Prepare and transmit early and final documentation packages to Operations.
  • Escalate documentation quality, schedule, or cost concerns to the Information Management Lead.
  • Conduct internal and external DFO audits and ensure corrective actions are completed.
  • Track documentation performance metrics and report project status.
  • Ensure final drawings, documents, and associated metadata are properly loaded into the Company Electronic Document Management System (UDocs).


Required Qualifications
  • Bachelor's degree in Engineering or a technical discipline preferred.
  • Experience supporting operations, projects, or technical organizations within Oil & Gas.
  • Strong background in document management and information management systems.
  • Expert-level Information Management experience.
  • Understanding of documentation requirements for operating oil & gas facilities.
  • Experience supporting Production, Refining, or Chemicals operations.
  • Excellent communication and stakeholder management skills.
  • Ability to influence cross-functional teams without direct authority.
  • Strong organizational skills with the ability to manage multiple documentation workflows simultaneously.
