Job DescriptionWe have an opening for a
Directorate Operations Program Support Specialist supporting several programs within the National Ignition Facility & Photon Science (NIF&PS) Directorate within the Directorate Operations Division. In this role, you will provide administrative and operational support for groups that support ES&H, Radiological Operations, Reliability, Facilities & Logistics, Assurance and Project Integration activities across the Directorate including ensuring efficient coordination, scheduling, communication, and compliance with Laboratory policies and procedures.
You will:- Coordinate and administer day-to-day operational support for multiple programs and related activities, including administer and maintain records, prepare recurring reports for program customers and management, coordination of on-call schedules and notifications, update institutional systems and stakeholders and resolve routine issues by interpreting applicable guidelines.
- Exercise knowledge and decision-making judgement to manage priorities, resolve administrative and operational issues and recommend improvements to processes and systems, possibly with guidance of management or professional peer.
- Collaborate with Program Leads to collect and begin to analyze established processes and workflows, ensuring tasks are completed accurately and on time.
- Maintain service area records, databases and documentation including review data, summarize results, prepare standard reports and track metrics for customer use and management decision-making, including completion status, and discrepancy tracking.
- Collect, validate, reconcile, compile and report information across systems such as Roles & Responsibilities, Review & Release, ELM, EAM, LINCS, ePay, LAPIS, and LEAP.
- Maintain documentation of programmatic requirements (on-call expectations, baseline training, gear and communications requirements as applicable), update content per established guidance and route for approvals.
- Support upkeep of program desk books by performing updates, maintaining version control and routing edits for review/approval.
- Maintain databases used to document facility capabilities, resources and configurations.
- Coordinate administrative steps for visitors, contractors and subcontractor personnel such as access requests, project tracking, required documentation and following established procedures.
- Perform other duties as assigned.
Qualifications- Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. Citizenship.
- Experience interacting with all levels of personnel, both internally and externally to an organization, while exercising a high degree of discretion, mature judgment, and tact in handling issues of a classified and/or sensitive nature.
- Proficient organizational and attention to detail skills, flexibility, and ability to prioritize multiple tasks, often with conflicting priorities and deadlines.
- Knowledge in maintaining accurate records, databases and documentation using tools such as SharePoint, spreadsheets, or similar systems.
- Experience in collecting, validating and reporting operations data with attention to detail and data integrity.
- Experience working with software applications and ability to learn new applications, in Microsoft Office Suite applications, such as, email, calendaring, and using Excel or other similar software to develop and maintain spreadsheets.
- Proficient communication skills necessary to effectively explain, present, and resolve multi-faceted issues using creative problem-solving skills.
Qualifications We Desire- Experience in technical operations, logistics, mission support or emergency/incident response environments.
- Familiarity with LLNL and/or Reliability Program associated systems and processes, such as SMART, WCD, and Roles & Responsibilities.
- Certified Reliability Leader or similar certification.
- Experience supporting and improving operational processes and documentation including standard operating processes, desk books; editing, version control, routing updates, consolidating requirements and developing tracking methods or tools.
- Experience supporting mission critical preventative maintenance processes including equipment reviews, and operation standards.
Pay Range$82,140 - $100,608 Annually
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
