Core Job Summary:

The Director, Patient Access ensures daily organizational and administrative operations run efficiently and are in compliance with established policies and procedures. In addition, the Director, Patient Access oversees the development and implementation of procedures to ensure the effective delivery of services.

Core Responsibilities:
  • Hires, supervises, mentors, trains, disciplines, and discharges the Patient Access and Front End Revenue Cycle staff.
  • Prepares department performance reports and develops short and long-term strategies for improvement.
  • Develops, monitors, and ensures compliance with departmental budget.
  • Attends and actively participates in meetings with upper management to identify any system issues and generate solutions.
  • Maintains current knowledge of applicable statutory, regulatory, and administrative requirements.
  • Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
  • Ensures employees are trained on controls within the function and on University policy and procedures.


Department Specific Functions:
  • Responsible for efficient, effective, and smooth administrative operation of the facility.
  • Develops of short and long term strategic operational plans that align with UCare Departmental goals.
  • Monitors on a monthly basis and develops and implements action plans as needed.
  • Creates and maintains monthly budgets; and provides variance analyses on both positive and negative variances.
  • Responsible for leading the Patient Access and Front-End Revenue Cycle staff including performance appraisals and disciplinary action.
  • Responsible for the development of new policies and procedures to ensure the smooth operation and provide excellent patient care.
  • Routinely evaluate current policies to continually improve operations and maintain compliance with JCAHO and other regulatory entities.
  • Ensures that all established policies and procedures are implemented and adhered to.
  • Meets on a regular basis with the Medical Director, Hospital Administrator, Senior Clinical Administrators & Executive Director of Patient Business Services to review and resolve clinic issues.
  • Develop and Maintain relationships with the Clinical Administrators, Faculty, and support staff to coordinate and facilitate patient care and resolve problems that arise.
  • Work with the Director of Health Information Management (HIM) to ensure that all facets of Medical Records processes are compliant with Medicare and the University of Miami's Office of Compliance for appropriate documentation and billing protocol by physicians and technicians.
  • Responsible for arranging system(s) and application training of all relevant personnel regarding appointment scheduling, registration, open referrals, time of service payment posting, insurance verification, and any other relevant applications ensuring that compliance and audit guidelines are followed to mirror Hospital process.
  • Ensures that physicians and staff members are continually updated regarding changes in coding, documentation and billing requirements for Medicare, the Office of Compliance, and Third-Party Payors.
  • Obtains monthly performance data for all the facilities for the VCA and other senior leaders.
  • Develops and maintains statistical reporting systems that accurately represent the performance of areas of responsibility.
  • Work closely with IT to ensure all system upgrades and current system issues are reviewed and properly identified to meet business operations.
  • Oversees the voucher reconciliation process for all locations to ensure that all hospital and professional charges are obtained on a daily basis for billing purposes.
  • Reviews and maintains monthly budgets, responsible for budget variance analyses with a written explanation on both positive and negative variances.
  • Responsible for interviewing and hiring qualified candidates.
  • Monitor and review PRC scores with all staff members to ensure the highest quality of service is being provided.
  • Ensures high levels of performance, achievement of goals and quality of results through subordinate managers.
  • Performs other duties as assigned.
