Position: Director of Finance

Job Summary:
The Director of Finance is responsible and accountable for all financial and business activities of the Academy, ensuring timely and accurate bookkeeping, recordkeeping and reporting, with particular emphasis on: cash management, collection of funds, implementation of the Academy's budget and the financial/business execution of all grants. The Director of Finance is also responsible to be one of the liaisons to GECS surrounding human resources and personnel matters at the Academy. Supervisory responsibility includes the Office & Accounting Assistant and Cafeteria Manager. The Director of Finance makes sure the Academy systems, policies and procedures are properly implemented and maintained.
Description of Duties:
Financial Transactions and Operations
• Properly manage the daily financial and business activities of the Academy
• Ensure timely and accurate bookkeeping and record keeping of all financial transactions and reconciliations
• Utilize generally accepted accounting methods of financial record keeping and accounting system requirements that comply with state and federal requirements
• Oversee financial requirements for building needs at the Academy
• Oversee capital outlay projects at the Academy
Enrollment and Funding:
• Ensure timely and proper reporting to the state
• Ensure timely and accurate collection of funds
Accounts Payable:
• Properly maintain the Academy's accounts payables
• Recommend list for payment to the Board of Directors
Budget:
• Prepare the Academy budget accurately and in a timely manner, in close coordination with the Executive Director and the Board's designee
• Ensure that the budget is implemented as per the Academy guidelines as well as all applicable state and federal laws and the Contract
• Coordinate with the Executive Director to ensure that the Academy budget is properly adhered to
• Make sure that all reports are submitted accurately and on time
Purchasing:
• Ensure that proper purchasing policies are followed
• Lead the RFP process at the Academy; play an effective role in purchasing and contract negotiation processes, in coordination with the Executive Director and Board of Directors' designee
Grants:
• Properly set up and control the financial/business implementation of grants
• Ensure compliance with the financial/business requirements
• Follow up in a timely and accurate manner on the financial reporting aspects with the state, the Executive Director and Board of Directors' designee
• Ensure timely collection of grant funds
Financial Control:
• Ensure proper cash management, including timely and accurate deposits, record keeping and receipts
• Ensure proper management of accounts receivable and payable
• Ensure proper asset management, including timely and accurate record keeping, necessary inventory checks and timely and accurate reporting of irregularities
• Maintain proper internal financial controls
Human Resources/Personnel Management:
• Work as a liaison between the Academy and GECS surrounding HR or personnel related matters
• Properly implement all GECS, Academy, and Board of Director policies and procedures relating to human resources
• Assist the Executive Director with salary budget planning and staffing requirements
• Effectively coordinate with GECS as needed
Internal Relationships:
• Work closely and effectively with the Executive Director, Board of Directors, and the Academy administrative team
• Serve on the Finance Committee
• Request support as needed
Internal Reporting and Compliance:
• Ensure proper implementation of, and compliance with, Academy and Board of Director systems, policies and procedures
• Ensure adherence to financial calendar
• Complete and submit required reports in a timely and accurate manner
• Properly report challenges to the Executive Director and the Board of Directors in a timely manner and recommend necessary action
• Recommend and assist with development of policies and procedures to ensure the efficient and safe operation of the Academy
External Reporting and Compliance:
• Ensure strict compliance with state and federal regulations
• Ensure that all required financial reports are submitted in a timely and accurate manner
• Effectively monitor management/lease/charter agreements with particular attention to the financial reporting requirements
Qualifications:
• Bachelor's degree with a major in accounting
• Three to five years of experience in school administration or similar management background
• Evidence of an ability to effectively interact with professionals, parents and students
• Criminal records clearance
