POSITION SUMMARY:

The Director of Business and Administration is responsible for managingbudgeting, auditing and other financial or related functions to ensure thefinancial integrity of the Enrollment Management Group (EMG), includingUndergraduate Admissions, Graduate Enrollment Services, Financial Aid,Enrollment Marketing and Communications, Enrollment Operations and StudentServices, Military and Veterans, and Campus Visit Experience and EnrollmentEvent Management. Incumbent assists with personnel and operational matters,communicates relevant University procedure and policy updates to EMG staff asappropriate and, in conjunction with other key EMG members, evaluate and/ornegotiate all contracts and vendor relationships. The director must coordinateand interface with all EMG leadership to integrate, align and approve alloperational activities with budget allocations.

DUTIESAND RESPONSIBILITIES:

Develops and manages operating, endowed and resource budgets for alldepartments under EMG including undergraduate and graduate admissions,financial aid, college fairs, enrollment systems and military and veteranaffairs. Provides fiscal direction inmatters concerning payroll, technology, travel, purchasing, accounts payableand accounts receivable.

Approves allfinancial transactions ($24,999 and under) for EMG departments; includinginvoices, purchase orders, EMG media buys, mailing requisitions, businessexpense reports, procurement card transactions and any other departmentalcharges. Approves Kronos payroll entriesfor EMG departments.

Supportsdecisions and advises management regarding financial decisions by providingaccurate information regarding the financial status of individual accounts andinterpreting University financial reports. Prepares detailed budget reports ona monthly, quarterly and yearly basis; audits current procedures to monitor andimprove efficiency of operations. Interfaces and coordinates with AVP(s) of EMGto review budget and efficiencies. Reviews enrollment partnerships forReturn-on-Investment to evaluate effectiveness of expenditures of EMG.

Assists theAssistant Vice President of Enrollment Operations and Student Services andSenior Vice President of Enrollment Management with staff hiring andreclassification processes. Advises onfinancial and human resource matters as needed. Oversees staff employment documents and provides information onadministrative procedures and requirements to staff.

Coordinates withall EMG leadership all compliance details to include audits and any necessaryresponses to findings; including Enrollment Management, undergraduate andgraduate admissions, financial aid and military and veteran students as well asassist with Federal and State Student Aid, Grant Thornton, LLP and the VACompliance Survey audits.

In conjunctionwith other key EMG colleagues, evaluates and/or negotiates all contracts forthe purchase of third-party services such as CRM, texting, tuition discountsand enterprise predictive analytics & data blending software in accordancewith the university policies and procedures (I.e. Capture, EAB, TriviumBI,Banner, Technolutions Slate, etc. etc.).

Assists in themanagement of the daily operations of the EMG. Oversees additional ad-hocprojects, such as the Kuali Business Continuity documents as assigned by theAssistant Vice President of Enrollment Operations and Student Services and theSenior Vice President for Enrollment Management.

Participatesin/assists in the management of large admissions recruitment events (i.e.DuquesneFest, Fall Open House, etc.). Represents the EMG by participating oncommittees, attending meetings and outside functions. Performs related dutiesand responsibilities as assigned.

REQUIREMENTS:
Minimum qualifications:

Bachelor's degree in business, accounting, finance, or a related field from anaccredited educational institution.

5-8 years ofrelevant work experience

Preferred qualifications:

MBA, or advanced degree in business systems, computer science, technology, or arelated field from an accredited educational institution.

Alternately, the successful candidate may possess any equivalent combination ofexperience and training, which provides the knowledge, skills and abilitiesrequired to perform the essential job functions. This includes, but is notlimited to, the following:

Knowledge of management and supervision practices and techniques.

Knowledge ofaccounting and budgetary theory, principles and practices.

Knowledge ofstate and federal laws and regulations pertaining to financial aid audits,departmental budgets and accounting practices.

Skill in applyingaccounting and financial management principles.

Ability to workindependently on complex and confidential issues related to the day-to-dayoperations of a department.

Knowledge ofHuman Resources, Purchasing and Payroll systems.

Strongleadership, supervisory and communication skills.

Ability toestablish and maintain effective working relationships with the UniversityCommunity.
