Hiring Range: Starting at $110,000.00 salary

The actual compensation for this position will be determined based on experience and other factors permitted by law.

Responsibilities:
  • Benefit Plan Enrollment and Claims Administration: Builds relationships with associates through effective interactions. Responds to inquiries in a timely manner; is personable, empathetic and behaviors and action taken reflect organizational values and behavioral performance expectations. Research benefit offerings that add value and ensure systems and processes in place for timely follow-up to all employee benefit information requests with a focus on high-touch customer service. Actively leads annual open enrollment events including planning, communication, and execution.
  • Benefit Billing and Maintenance: Ensures all employees and dependent eligibility through HRIS system reports and vendor/carrier records is reconciled appropriately. Responsible for the invoicing for welfare plans, voluntary benefits, and discount programs; researches and corrects all variances. Requests checks or ACH payments to ensure timely and accurate payment to vendor on a bi-weekly or monthly basis as contracted with vendor. Collects, reconciles and remits all employee direct payments to vendors. Monitors employee deduction arrears during each pay period. Create repayment methodology and plan in HRIS and works with employee to ensure repayment as applicable.
  • Leave Management: Oversees all aspects of the leave management program (FMLA, WC, DBL, NYS Paid Leave, Personal Leave) including but not limited to; the distribution of required leave notices to employees, updates to the employee leave database, timely processing of requests and required eligibility and designation notices. Additionally, responsible for educating leadership on their role relative to leave programs and ensures timely information is cascaded to the department so operations can continue seamlessly. Provides timely responses to questions from associates and leadership to ensure understanding of leave policies and procedures. Oversees payment from third parties and employee accrued time banks, reimburses accrued time as appropriate, coordinates information sharing with Employee Health Dept. Ensures SMH is meeting all applicable laws and regulations.
  • Employee Relations: Leads and facilitates the employee relations program and all related functions. Develops and oversees platform for employee performance and collaborates with leadership and team members to ensure that policies and procedures are fair, equitable and consistently adhered to. Ensures that oversight and application of policies and procedures meet all state and federal requirements. Provides ongoing education on timely topics that enhance the work culture and ensure consistency and accuracy in policy administration and enforcements. Strong organizational skills, Effective interpersonal skills, as well as strong customer service.
  • Data Management and Reports: Oversees maintenance of all group plan and discount program recordkeeping including all benefit related correspondence, contracts and computer files, invoicing records, forms, manuals, census files, benefit highlights and intranet information, courtesy discount policy updates, open enrollment material, etc. Assists with HR information system (HRIS) benefit program administration including vendor interfaces, reporting, qualifying events, open enrollment, etc. (15%) Experience with HRIS and benefits databases, Proficient with Microsoft Office products: Outlook, Word, Excel and PowerPoint
  • Retirement Plan: Coordinates on-site investment advisor schedule and communication to employees.
  • Benefit Fair and Vendor Visits: Assists with coordination of vendors and site set up for monthly and quarterly vendor visits and annual employee benefit fair.
  • Collaborates on HRIS benefit program administration (interfaces, BI reporting, open enrollment, Life events, etc.)

Minimum Qualifications:

Education, Training & Experience:
  • Bachelor's degree in human resources, organizational development, business administration or related field required.
  • Minimum of 7 years prior experience in benefits administration; no less than three (3) years overseeing a program.
  • Prior experience with or overseeing an employee relations program.

Certification / Licensure:
  • SHRM-CP or PHR preferred
