Overview

The Office of Academic Scheduling and Instructional Space is a high-visibility, high-volume, deadline-sensitive operation that manages classroom scheduling and first-year sectioning, exam scheduling, event scheduling, advising technologies, and related data analysis. Reporting to the Rutgers-New Brunswick Chancellor's Office, OASIS schedules more than 25,000 course sections and 4,000 final exams per year.

Posting Summary

Rutgers, The State University of New Jersey, is seeking a Data Visualization Specialist for the Office of Academic Scheduling and Instructional Space (OASIS).

Reporting to the Director of the Office of Academic Scheduling and Instructional Space (OASIS), the Data Visualization Specialist is responsible for building visualizations, analyzing data, and providing business intelligence (BI) insights to create and maintain data solutions that inform decision-making at Rutgers-New Brunswick.

Rutgers-New Brunswick's advanced scheduling software is designed to help address a critical element of the University's strategic vision, namely enhancing course scheduling to help reduce student inter-campus bus travel and help ensure that students can register for the courses they need to progress toward a degree in a timely fashion. The incumbent is responsible for understanding both the software platforms and related University operations to create and model academic planning scenarios.

Among the key duties of this position are the following:
  • Works closely with fellow data analysts and software developers-using analytical and reporting tools such as Tableau and web-based applications-to develop and deliver data stories, analytics, and reporting solutions.
  • Leverages Tableau to develop streamlined and visually impactful dashboards that transform complex data into clear, actionable insights, empowering stakeholders to make informed, data-driven decisions.
  • Works closely with other data staff in OASIS to optimize the processes by which course scheduling and related data are gathered, validated, manipulated, tested, and assessed.
  • Supports the implementation, launch, and operation of Infosilem's exam and event scheduling modules, which, along with course scheduling data, will interface with Tableau-based data dashboarding and visualization efforts across all OASIS data, including preparing data extracts and feeds.
  • Maintains productive working relationships with colleagues in the Rutgers-New Brunswick Office of the Chancellor, the Office of Information Technology, the University Registrar, Summer/Winter Session, academic units, and scheduling counterparts at the Rutgers University-Newark and Rutgers University-Camden campuses. Importantly, the Data Visualization Specialist should be prepared to contribute to the collegial, team-oriented culture within OASIS.

  • Bachelor's degree, or an equivalent combination of education and experience.
  • Four or more years of relevant work experience in a responsible, higher education role with demonstrated responsibility for processes and outcomes that are relevant to the duties of this position.


Certifications/Licenses

Required Knowledge, Skills, and Abilities
  • Ability to understand, test, and improve the processes by which data is migrated among the University's legacy mainframe system, OIT Oracle databases, the existing course scheduling portal, and Infosilem modules and interfaces.
  • Experience and expertise in analyzing complex systems and making operational decisions while balancing technical factors, resource constraints, and stakeholder needs and preferences.
  • Proficiency with data analysis, business intelligence (BI), and database tools such as Tableau, Microsoft Access, and Excel.
  • Ability to become conversant with issues related to the coordination of course scheduling, student registration, student housing and transportation, finance, and human resources.
  • Experience applying statistical methods to data sets to develop BI solutions and actionable insights.
  • Experience using Python, SAS, and SQL to manipulate data and derive insights from large data sets.
  • Experience developing insights from data, presenting findings, and influencing strategic decision-making.
  • Ability to analyze complex data sets, identify relationships and trends, draw conclusions, and develop actionable recommendations.
  • Outstanding attention to detail and the ability to manage multiple priorities simultaneously, as the office often works on several large-scale data projects at once.
  • Knowledge of color theory and experience working within visual identity standards.
  • Strong written and verbal communication skills, along with tact and diplomacy.
  • Ability to assess the need for change continuously, design and implement new processes and systems, and successfully execute related projects. Must possess a collegial, collaborative approach and work effectively with the scheduling team to develop practices that best serve the University.


Preferred Qualifications
  • MBA or Master's degree in statistics, mathematics, analytics, engineering, computer science, or another technical and/or financial discipline.
  • Experience with Big Data architecture and mining for insights across various data sources.
  • Technical knowledge for improving system performance, capacity, reliability and scalability of data visualization and reporting solutions.
  • Ability to prepare presentations for senior administrators to clearly articulate results of complex mathematical analysis through strategic storytelling.
  • Familiarity with course scheduling, student registration, classroom management, and student information systems at a large university, such as the ones available from Infosilem.
