Full Job Description
Job title: Data Services Operations Coordinator

Reports to: SVP, Data & Analytics

Department: Central Services

Location: Remote

Grade: 18

About the Role:

We are seeking a Data Services Operations Coordinator to ensure the smooth execution of our Data Services operational processes, agile sprint pipelines, and release schedules. In this role, you will work within established operational frameworks to manage day-to-day sprint mechanics, maintain project board hygiene, monitor release readiness, and administer key departmental workflows. Operating with functional autonomy, you will act as a key operational anchor for Department Leads and Project Delivery Leads, taking full ownership of recurring operational objectives and cross-functional coordination.

Responsibilities:

  • Agile Sprint Execution & Board Hygiene:
    • Coordinate, schedule, and facilitate recurring agile ceremonies, including daily standups, sprint planning, and backlog refinement sessions.
    • Own Jira board hygiene across teams; process ticket modifications, resolve unassigned items, manage field updates, and clean up inactive issues prior to planning sessions.
    • Track sprint action items and verify ticket readiness against defined operational criteria to support smooth cycle execution.
  • Release & Dependency Coordination:
    • Coordinate routine release checklists, track go-live dependencies, and escalate release risks to delivery leadership.
    • Maintain active issue logs and track cross-functional operational dependencies across active projects.
  • Program & Financial Compliance Administration:
    • Track milestone completion for active initiatives and gather necessary documentation for CapEx and OpEx financial traceability.
    • Coordinate monthly operational expenditure (OpEx) logging, capital submission tracking, and team time-logging compliance against target deadlines.
  • Access & Knowledge Base Management:
    • Manage team access workflows, triage incoming operational request queues, and coordinate platform permissions across core data systems.
    • Maintain the Data Services wiki and Confluence spaces by structuring new operational documentation and archiving outdated materials.
  • Vendor & Administrative Support:
    • Administer the vendor renewal pipeline by tracking contract milestones, routing modification requests, and scheduling vendor alignment sessions.
    • Coordinate departmental logistics, operational updates, and team culture-building activities.

What Success Looks Like:

Key Performance Indicators & Behaviors Defining Success:
  • Zero Friction in Agile Rhythms & Board Hygiene
    • Sprints run like clockwork: Standups stay focused, planning sessions run efficiently with pre-groomed backlogs, and team members know their precise priorities.
    • Jira is a reliable single source of truth: Zero "ghost" tickets, forgotten unassigned items, or outdated fields. Leadership can view an accurate, real-time snapshot of project health without asking for manual updates.
    • Blockers are caught early: Sprint risks, dependency bottlenecks, and action items are flagged to delivery leaders before they cause release delays.
  • Seamless Financial & Audit Compliance (CapEx/OpEx)
    • 100% On-time time-logging: Engineers submit time logs on schedule without leadership having to send reminders or hunt down entries.
    • Audit-ready documentation: Milestone completions and CapEx/OpEx tracking are fully documented for finance well ahead of monthly deadlines.
    • Proactive vendor management: Vendor renewals, software licenses, and contract milestones are tracked in advance, eliminating last-minute expirations or auto-renewals.
  • Operations & Access Run on Autopilot
    • Rapid access resolution: Onboarding and request queues are triaged continuously so team members get platform and tool access within hours, not days.
    • A self-serve knowledge base: Confluence spaces are structured and current, making information easy to find and reducing redundant Slack inquiries.
    • Smooth execution support: Release checklists, cross-functional dependencies, and logistics are managed seamlessly in the background.

The Bottom Line:

Success in this role means the Data Services organization operates with maximum velocity and zero administrative drag-allowing engineering and data leadership to stay focused on technical delivery rather than managing operational overhead.

Candidate Requirements:

  • 3+ years of professional experience in project coordination, scrum mastering, or operations within a data or software engineering environment.
  • Demonstrated ability to work independently within established guidelines to achieve operational objectives.
  • Strong hands-on experience with Jira (board management, JQL/filters, ticket hygiene) and Confluence.
  • Solid understanding of Agile/Scrum concepts, SDLC stages, and basic financial logging processes (CapEx/OpEx).
  • Strong communication, organization, and follow-through skills.
