Supporting the Vision, Values, Purpose and Commitments of Fraser Health including service delivery that is centered around patients/clients/residents and families:The Coordinator, Medical Staff Scheduling is responsible for the daily operations of Fraser Health's centralized medical staff scheduling and billing systems that ensures the provision of medical staff schedules and billing across FH. Manages medical staff scheduling systems and related events including onboarding medical departments on to the FH centralized medical staff scheduling and billing system, developing and maintaining standardized training/orientation programs for medical staff schedulers and medical staff and providing technical and procedural guidance to medical staff and partners to effectively use and navigate scheduling and billing systems. Maintains quality assurance to ensure effective and efficient operations and develops statistical and various operational reports that help inform quality improvement recommendations.

Responsibilities
  • Coordinates and oversees all Medical Staff scheduling and billing systems processes by liaising with the medical staff, medical schedulers and the vendor to initiate the appropriate processes. On boards medical departments on to the FH centralized medical staff scheduling and billing system.
  • Analyzes incoming requests to determine priority and sequence of onboarding. Acts as a subject matter expert on the medical staff scheduling and billing system as it relates to the medical staff.
  • Participates in the production of Petal project deliverables during implementation and in the effective utilization of the system across FH and with Medical Staff.
  • Sets up and maintains user access accounts in conjunction with Medical Affairs Credentialing team, including deletion of inactive accounts.
  • Maintains effective documentation of system configuration and changes, and history of change requests and decisions.
  • In collaboration with the Petal implementation team and the vendor, develops, coordinates, delivers and evaluates effectiveness of training for healthcare providers across FH on the use of the Petal software through various approaches.
  • Ensures training manuals and support materials, are kept up-to-date and utilizing available technology and appropriate techniques to meet diverse user needs based on adult learning principles with a focus on Medical Staff. Brings forward ideas and opportunities to expand or enhance training to promote patient safety.
  • Working with partners within Fraser Health, participates in report design and analysis to meet reporting requirements. Provides regular reports to Programs, Senior Executive and other committees, along with analysis, consultation, interpretation and support to managers and senior leaders on the use of Petal data for learning and improvement.
  • Provides orientation and guidance to new medical schedulers and administrative support staff, facilitating clear and effective communications. Develops and nurtures working relationships with medical leaders, medical staff members, vendor, and administrative colleagues.
  • Coordinates the implementation of quality improvement initiatives including reviewing and recommending process changes for work flow, policy and process, and use of technology. Assesses impact of changes on medical staff, operational staff, and other partners. In conjunction with the Medical Affairs and Medical Staff Services leadership, implements approved changes and guides schedulers and medical staff through changes.
  • Develops, compiles, coordinates, analyzes and monitors various operational and informational reports related to medical staff scheduling and billing. Provides quality-related and other statistics and prepares related reports on a continual and ad hoc basis that help inform quality improvement recommendations.
  • Conducts audits related to physician scheduling and billing information, data quality and system processes/practices. Analyzes and evaluates audit findings and develops recommendations to the Medical Affairs and Medical Staff Services leadership on data quality and system process improvements.
  • Participates in and organizes various meetings related to the scheduling service and billing service; assists and/or undertakes a variety of projects as assigned by the Medical Affairs and Medical Staff Services leadership.
  • Performs other related duties, including special projects, as required.

    Professional/Technical Capabilities

     

    Bachelor's degree in Health Information Sciences, Computer Sciences, or Business Management or an equivalent combination of education, training and experience. Five (5) years related experience in areas of information system or program administration, quality, patient safety or risk management, health care change or project management and/or business systems analysis.COMPETENCIES:
