Contract Specialist

Job Description
As a Contract Specialist, you will review proposed contracts to ensure that the price, delivery schedule, specifications, and terms and conditions are consistent with the quotation submitted. You will maintain and reconcile backlogs, bookings, and sales reports while also managing Salesforce to align with bookings reports. Furthermore, you will oversee the customer, supplier, and sales representative database within the ERP system.
Responsibilities
  • Review proposed contracts for consistency with quotations.
  • Maintain and reconcile backlogs, bookings, and sales reports.
  • Manage Salesforce and reconcile it with bookings reports.
  • Maintain customer, supplier, and sales representative database in the ERP system.
  • Monitor and update customer supplier portals, including annual certifications and representations, invoicing, and requests for quotations.
  • Assist with the close-out of contracts, including final billing and disposition of customer furnished material.
  • Interface with other business functions for license requirements planning and address daily operational issues.
  • Process all export shipping documents to ensure compliance, including customs invoices and packing lists.
  • Interface with freight forwarders/customers to arrange shipments and coordinate pickup dates.
  • Support FSO with visitor request processing, screen names in Visual Compliance, and update visitor log.

Essential Skills
  • Experience in contract management, data entry, RFP, RFQ, ITAR, DFARS, and FAR regulations.
  • High School diploma with a minimum of 8 years of relevant experience or an Associate's degree with a minimum of 4 years of experience.
  • 4-5 years of contract experience in the defense manufacturing industry.
  • Familiarity with large, complex multifaceted electronics design and manufacturing environments.
  • Understanding of the defense aerospace industry and related regulations.
  • Familiarity with procurement roles in complex industries.
  • Proficiency in Microsoft Office.

Additional Skills & Qualifications
  • Experience with CostPoint and Salesforce is a plus.
  • Understanding of subcontractor solicitations and bid analysis/process.
Job Type & Location
This is a Permanent position based out of Melville, NY.
Pay and Benefits
The pay range for this position is $75000.00 - $100000.00/yr.
• Pay Period: Weekly, Direct Deposit only
• Paid-Time-Off: Exempt - Flexible Time Off (Eligible after 60-day introductory period)
