As our Client Service Associate, you'll wear two equally important hats. First, you'll serve as a key point of contact for day-to-day client service needs, assisting with account maintenance, money movement requests, scheduling, paperwork, and routine client communication. Second, you'll take ownership of the operational processes that keep the firm running smoothly, from account administration and custodial relationships to workflow management, billing, and process improvement. You will not be required to sit in client meetings or manage client relationships. Instead, you'll partner closely with our advisors by ensuring client requests are handled promptly, operational tasks are completed accurately, and our internal systems continue to support a high level of service. This is a fully remote position. Candidates residing in the New York City Metro Area will be given priority, as travel will be expected a few times each year for occasional team meetings and client events.
Main responsibilities for the position include:- Client Service & Advisor Support: Serve as a primary point of contact for day-to-day client service requests, support advisors with account administration and follow-up, and help deliver a seamless client experience through timely communication and accurate execution
- Account Management: Process new account openings, transfers, money movement, distributions, beneficiary updates, account maintenance, and other custodial paperwork while ensuring accuracy and timely completion
- Operations & Workflow Management: Manage operational workflows through Hubly, monitor outstanding tasks, document procedures, and identify opportunities to improve efficiency as the firm continues to grow
- Custodian & Vendor Relationships: Coordinate with custodians and third-party partners, including Schwab, TIAA, GeoWealth, New York's 529 College Savings Program, and other vendors to resolve account issues, support implementations, and maintain smooth day-to-day operations
- Billing & Systems: Support quarterly billing and reporting within GeoWealth by auditing fee schedules, resolving discrepancies, and identifying opportunities to improve operational efficiency
- Process Improvement & Quality Control: Help strengthen the firm's operational infrastructure by maintaining accurate records, ensuring consistency across processes, supporting technology initiatives, and contributing ideas that improve the client and advisor experience
- Other Responsibilities: Perform other duties, responsibilities, and special projects as assigned to support the evolving needs of the firm
The ideal candidate:- Bachelor's degree highly preferred, or equivalent work experience
- Minimum of 2-4 years of client service or operations experience with an RIA environment
- Experience using Hubly (or a strong aptitude for building financial workflows and checklists) is highly preferred
- Strong familiarity with Schwab Advisor Center is required. Experience with TIAA, 529 plans, or Fidelity Wealthscape is a major plus
- Proficient with Wealthbox (or similar CRM), GeoWealth, Microsoft Office, and other financial technology platforms
- Excellent organizational, communication, and time management skills with exceptional attention to detail
- Enjoy improving processes, building efficient systems, and taking ownership of your work in a collaborative, remote environment
Compensation & Benefits- Salary Range: $75,000-$90,000 base salary (commensurate with experience)
