This role combines office management and administrative responsibilities with regional leadership for facilities, security, and infrastructure across our 3 U.S. and Canadian locations. This position requires an individual who can manage multiple tasks with precision and reliability. The ideal candidate is based in Ottawa and able to travel up to 15% to support our Washington, DC and Fredericton, Canada sites.
Essential Functions: - Serve as the regional operations lead for the United States and Canada across three sites, based in the Ottawa office, and provide support as needed to the Fredericton and Washington, DC offices.
- Serve as the Canada Security Officer to support facility security posture and enforce applicable security policies.
- Build strong working relationships with personnel in the United States and Canada and serve as an advocate by triaging issues and expediting resolution across the full spectrum of business functions.
- Serve as the administrative lead for the United States and Canada, providing full-spectrum business support to the team, including travel, expense reporting, and procurement.
- Plan and schedule team-building events, lunches/dinners, meetups, conferences, and employee morale events.
- Coordinate business unit and L3Harris executive leadership visits to U.S. and Canadian sites.
- Oversee and maintain accountability for office capital purchases and equipment.
Qualifications: - 5+ years of experience in an office manager, business operations, or similar role, with excellent organizational skills and strong attention to detail.
- Advanced to expert proficiency in Microsoft Office Suite, including PowerPoint, Excel, Word, and Outlook.
- Ability to create pivot tables in Excel, present complex data, and summarize business needs and challenges clearly.
- Excellent communication and interpersonal skills, with a strong focus on customer service.
- Ability to work both independently and collaboratively in a dynamic, fast-paced environment.
- Ability to manage multiple competing priorities effectively.
- Proficiency in financial management, including vendor management, spend forecasting, and purchase order processes.
- Ability to travel to U.S. and Canadian satellite sites 1-2 times per quarter to support customer demos and employee engagement initiatives.
- Ability to obtain a Canadian Secret security clearance.
Preferred Additional Skills:
- Active Canadian secret security clearance.
- Experience certifying and maintaining certification of site(s) under the Canadian Controlled Goods Program.
- Experience managing multiple international sites/facilities.
- Experience with cost reporting and management systems: Concur, CostPoint, PeopleSoft, and Expensify.
Eligibility Criteria: - Must be eligible for registration with the Controlled Goods Program;
- Must be eligible to obtain and maintain a government of Canada Reliability status and Secret Level 2/NATO Secret security clearance;
- Must be eligible to meet the requirements for U.S. International Traffic in Arms Regulations (ITAR).
