Job Overview

This position will support, as the liaison to the SOC, Staffing & Scheduling successful system implementation, modifications, maintenance and testing for all systems used within the department from a business user perspective. This includes but is not limited to staffing, scheduling, budget and payroll software. In this role the individual will also function as a project manager and consultant proposing best practice for system processes and set-up. The individual will collaborate with SOC leadership and other acute care leaders to create reports, document decisions and processes, create resources such as job aids and tip sheets as well as customer and department communication. In addition, this individual may also lead training sessions for staffing, scheduling, hospital unit leaders and staff. The System Operations Center (SOC) Business Analyst fully understands the requirements of staffing and scheduling analytics and serves as the co-owner, in partnership with the System Director of the SOC, management tools, system capabilities and processes to ensure they are accurate, effective, and accessible. This role partners with SOC leadership to take part in identified cadence of budget meetings, with nursing leadership teams to review goals in maintaining the budget. The individual will represent the SOC as the subject matter expert in the administration, communication, coordination, measurement, and timely delivery of information to the system, hospital leadership and users. This position will report to the VP of the System Operations Center, Staffing & Scheduling.

Responsibilities
  • Acts as a point of contact/subject matter expert for reporting, application processes and maintains a strong understanding of system functionality, software applications, and business workflow to appropriately interpret data and communicate effectively to support SOC leadership decision making.
  • Develops and maintains relationships with key partners throughout the system to research and develop potential solutions and strategize ideas to improve systematic performance or issues, specific to the SOC, staffing and scheduling. Assuring downstream issues are mitigated prior to upgrades, new applications are implemented.
  • Supports project implementation through life cycle end identifying functional and nonfunctional requirements, identifying, and troubleshooting technology constraints and ensuring business needs are optimized.
  • Create and maintain the set-up of reports to enhance standards across organization
  • Monitor and analyze data trends to assist leaders with census decisions related to staffing and scheduling.
  • Work with SOC leadership to develop training and documentation of a systemwide staffing and scheduling guideline tool for both union and non-union employees scheduled within the centralized SOC.
  • Develop, design, and maintain dashboards, visuals and/or reports related to workflows, schedules, employee productivity monitoring, and more to understand business performance of the SOC
  • Create and maintains staffing and scheduling reference tools, in partnership with SOC leadership, for team members of the SOC, hospital leaders, employees and system leaders as needed.
  • Supply data to compare and reconcile our bi-weekly UKG data, payroll and Power BI data with SOC Director, to be reviewed by VP of the SOC, Staffing and Scheduling.
  • Analyze process issues and bottlenecks, by applying critical thinking knowledge to core functions. Takes action and ensures escalation of system problems, operational needs, improvements and enhancements are brought forward to SOC leadership.
  • In coordination with SOC Supervisors and Managers, tests, identifies new conditions to test, and analyzes results of testing new or updated workflows and system functionalities to ensure system operates as designed, meeting operational requirements.
  • Possesses understanding of project management, able to facilitate meetings, support organizational initiatives, and lead efforts to realize efficiencies and ensure continuous process improvement.


Required Qualifications
  • B.S./B.A.
  • 5 years Hospital business analytics
  • 3 years Experience in hospital project management or leadership experience in a hospital system or hospital setting
  • Proficiency in Microsoft Office: Word, Excel, Power-Point, Visio, Teams, SharePoint and Outlook.
  • CPPM: Professional project manager certification

Preferred Qualifications
  • 2 years Managerial leadership demonstrating data reporting, presentation experience
  • Epic certification in applicable area

The posted pay range is for a 40-hour workweek (1.0 FTE). The actual rate of pay offered within this range may depend on several factors, such as FTE, skills, knowledge, relevant education, experience, and market conditions.
