Overview

Microsoft's Azure Data engineering organization is building the data platform for the age of AI, powering a new class of data-first applications, and enabling customers to unlock value from their data at scale. Azure Data spans a broad portfolio across data platforms, analytics, integration, real-time intelligence, and business intelligence. The Azure Data organization is hiring an Executive Business Administrator to provide high-impact administrative support for three senior technical leaders (TF/CVP/CTO), as well as team support for a small engineering team (

This position is best suited for a highly organized, detail-oriented administrator who thrives in a fast-paced engineering environment, can operate with discretion and confidentiality, and is comfortable engaging with executive stakeholders, partner teams, customers, and external audiences. The successful candidate will partner closely with Chief of Staff offices, business operations teams, leadership teams, and Business Support peers to ensure calendar strategy, meeting readiness, team operations, travel, events, and ROB activities are executed with precision. This job posting is for candidates located in the Redmond/Puget Sound area only. The role requires working onsite a minimum of three days per week.

Responsibilities

Calendar Management and Meeting Logistics
  • Provide strategic calendar management and time-planning support for three senior Azure Data leaders and one small team.
  • Manage complex schedules with attention to accuracy, timeliness, prioritization, and alignment to leader commitments and business priorities.
  • Drive meeting readiness by coordinating agendas, materials, briefing documents, participant alignment, and follow-up actions as needed.
  • Use strong judgment and business context to resolve conflicts, prioritize executive time, and keep leaders and partner teams informed.
  • Manage ambiguity and adapt quickly as priorities shift across multiple leaders and workstreams.

Cross-Functional Collaboration and Communication
  • Serve as a trusted liaison between senior leaders and various teams.
  • Gather and synthesize information from across teams to help leaders and stakeholders stay informed and prepared.
  • Communicate professionally with internal and external audiences while representing Azure Data and Microsoft with discretion and executive presence.

Discipline Leadership and Development
  • Contribute to the Azure Data Business Support community by modeling strong administrative practices, professional judgment, and leadership within the discipline.
  • Lead by example through executive presence, sound decision-making, confidentiality, and consistent follow-through.
  • Provide guidance and support to Business Support colleagues as appropriate, sharing best practices and helping strengthen administrative excellence across the organization.

Event Coordination and Logistics
  • Owns the coordination, logistics, and execution for team events, leadership meetings, morale activities, and business-critical gatherings.
  • Proactively drive planning workstreams needed to ensure event outcomes: workback schedules, stakeholder engagement, communications, and logistical readiness. Acts as a main point of contact.
  • Coordinate with Business Support peers, suppliers, facilities, and partner teams to support virtual, hybrid, and in-person events.
  • Identify learnings and recommend improvements for future event planning and execution.

Project Ownership
  • Manage multiple administrative and operational projects end to end, balancing competing deadlines while maintaining executional excellence.
  • Drive stakeholder accountability through clear communication, planning, tracking, and follow-through.

Resource Management
  • Participate in discretionary budget tracking, including morale, hardware, supplies, training, and team-related expenses. May contribute to complex budget management by reviewing, forecasting, and providing recommendations to ensure efficiency and quality.
  • Partner with Business Operations and Finance to support expense management, documentation, tracking, and policy compliance.
  • Support equipment, inventory, and resource planning needs for supported leaders and team members.
  • Coordinate vendor and supplier processes as needed, including ensuring appropriate financial processing setup.

Rhythm of Business
  • Understand and support Rhythm of Business activities across the supported leaders and small team.
  • Partner with Business Operations and team to build, maintain, and adjust ROB plans, meetings, deliverables, and communications.
  • Help ensure ROB activities are well-organized, timely, and aligned to business priorities.
  • Gather feedback and support continuous improvement in the way team rhythms are planned and executed.

Space Management and Planning
  • Support space-management processes, organizational adjustments, and local team needs in partnership with space planners and Business Support peers.
  • Coordinate space-related requests, room assignments, technology, equipment, and onsite logistics for supported leaders and team members.
  • Maintain accurate space and seating information and escalate issues as needed to central office, space leads, or partner teams.

Team Management Support
  • Facilitate team experience activities and support a positive, inclusive, and well-connected team environment.
  • Support onboarding activities, including equipment ordering, workstation setup, distribution lists, security groups, and access needs.
  • Provide support to new employees, vendors, and interns as a key point of contact for team and company information.
  • Support headcount-related activities in collaboration with Chief of Staff offices, including transfers, departures, reporting, offboarding, and related transactions.

Travel Management
  • Book and manage domestic and international travel arrangements in partnership with Chief of Staff offices and Executive Travel.
  • Create detailed itineraries and agendas that help maximize leader productivity during business travel.
  • Coordinate logistics, briefing materials, stakeholder communications, transportation, accommodations, and contingency planning.
  • Serve as a resource for travel-related issues or escalations.

Qualifications

Required/Minimum Qualifications
  • 5+ years of administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administrative support for executive or upper-level management.

Additional or Preferred Qualifications
  • Bachelor's degree in a relevant field such as Business Administration, Human Resources, Marketing, Communications, Psychology, or Sociology, OR equivalent experience.
  • 2+ years of experience mentoring or supporting others within the administrative or business support discipline.
  • 3+ years of experience reviewing and managing administrative budgets, including events, morale, travel, training, hardware, or supplies.
  • Demonstrated experience managing complex calendars and competing priorities for senior leaders.
  • Ability to work onsite in the Redmond/Puget Sound area a minimum of three days per week.
  • Strong attention to detail, sound judgment, follow-through, and ability to manage confidential information.
  • Excellent written and verbal communication skills, with experience engaging across senior stakeholders and cross-functional teams.
  • Experience supporting senior technical leaders, engineering organizations, or globally distributed teams.
  • Demonstrated ability to operate with executive presence, confidentiality, resilience, and professionalism in a fast-moving environment.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
