Job Summary

The Academic Affairs Business Office Collaborative is a newly established shared-services organization supporting units within the Vice Provost for Access & Opportunity (VPAO) and Vice Provost for Undergraduate Education (VPUE) portfolios. Formed by bringing together two experienced administrative teams, the Collaborative serves as a centralized resource for the business and administrative needs of multiple Academic Affairs units.

The Collaborative is looking for an experienced Business Administrator with financial expertise to support the Center for Educational Outreach (CEO) and the Office of Academic Multicultural Initiatives (OAMI). As this new structure continues to evolve, you will have the opportunity to help shape processes and best practices. Responsibilities may expand or shift over time to meet organizational needs. This position is a hybrid position, with on-campus and remote work available. We anticipate that you will spend two to three days per week on-campus depending on organizational and unit needs.

Responsibilities*
  • Lead annual budgeting, quarterly forecasting, financial reporting, and variance analysis for assigned units and programs.
  • Advise leadership on resource allocation, spending forecasts, strategic planning, and financial sustainability.
  • Develop clear, decision-ready reports using BusinessObjects, Excel, and Google Sheets.
  • Be the primary financial and administrative contact, ensuring compliance with university policies, internal controls, procurement, and expense reporting requirements.
  • Partner with central university offices and guide unit staff in resolving financial, procurement, and administrative issues.
  • Support Human Resources activities, including appointment and shortcode changes, job descriptions, recruitment tasks, and guidance to directors.
  • Lead all pre- and post-award grant administration, including complex proposal submissions, budgets, award setup, financial monitoring, reporting, and closeout.
  • Interpret and apply sponsor, federal, state, and university regulations to maintain grant and financial compliance.
  • Provide faculty and leadership with portfolio forecasting and strategic guidance across sponsored and other funding sources.
  • Improve research administration processes to strengthen efficiency, compliance, and customer service.

Required Qualifications*
  • Bachelor's degree in accounting or finance, or equivalent level of education and work experience
  • 5+ years of work experience in finance, business or related field
  • Work experience in financial forecasting, modeling and reporting
  • 2+ years grant administration experience (pre-award, post-award or both)
  • Expert level in Excel and Google Sheets, including use and development of pivot tables, complex formulas and report development
