Job Description

We're looking for a Billing Supervisor to join our Chicago office and play a key role in keeping our billing operations running smoothly across multiple offices. In this position, you'll oversee the billing team's day-to-day work, helping to ensure that assignments are completed accurately and on time, and that inquiries are handled promptly in line with the Firm's guidelines and procedures.

You'll serve as a go-to resource for your team, providing guidance on departmental matters, keeping an eye on workloads, and recommending adjustments to staff assignments as needed. A strong understanding of billing processes and staff responsibilities is essential, and you'll have the opportunity to model and encourage high-quality work throughout the department.

This role also includes hands-on billing responsibilities. You'll manage billing for assigned attorneys, including the preparation and monthly processing of proformas. A commitment to excellent customer service is at the heart of everything we do, and we're looking for someone who shares that value.

Above all, we want someone who thrives in a collaborative environment. You'll help foster a spirit of teamwork not only within the Billing Department but across the Firm as a whole. If you enjoy supporting others, solving problems, and building strong working relationships, we'd love to hear from you.

  • Serve as the primary point of contact for assigned Billing team members across all offices, training staff and promoting knowledge sharing.
  • Communicate regularly with the Billing Manager on day-to-day operations.
  • Collaborate with attorneys and clients on invoice presentation.
  • Coordinate all billing processing functions in accordance with department procedures, proper accounting principles, and internal controls.
  • Work alongside the e-billing team to troubleshoot issues and maintain a working knowledge of e-billing systems.
  • Prepare and maintain documentation of Billing policies and procedures.
  • Help develop plans to meet Firm deadlines and continuously improve billing processes.
  • Oversee and assess the work product and performance of assigned staff, providing feedback to the Billing Manager as part of the performance review process.
  • Process proformas, finalize invoices, and run pertinent reports in adherence to Firm policy.

Qualifications

  • Minimum of 7 years of legal Billing experience, including 2 years of working in 3E required.
  • Prior supervisory experience required, with a demonstrated ability to lead by example and build a supportive team environment.
  • Highly skilled in Microsoft Office Suite, including expert knowledge of Excel.
  • Bachelor's degree preferred, ideally in accounting or business-related field with applicable accounting coursework.
  • Strong verbal and written communication skills, with the ability to engage effectively with a wide range of stakeholders.
  • Comfortable juggling multiple priorities in a fast-paced setting and adapting as workload demands shift.
  • Flexible and resourceful when deadlines are tight, with a willingness to work overtime when needed, and a knack for staying ahead of workflow demands including coordinating coverage with minimal direction.
  • Highly organized with strong attention to detail and analytical abilities, including the use of independent judgement and discretion when handling discrepancies resolution.
