Full Job Description
Associate Project Manager - Mission Critical

What this job involves:

Support the successful delivery of complex, fast-track data-center and mission-critical projects by providing essential project management assistance across coordination, documentation, scheduling, cost tracking, procurement administration, and stakeholder communication. Working closely with project managers on up to three concurrent projects, this high-growth role contributes to the precise, compressed execution that defines our speed-to-market advantage - attending key site milestones as needed while managing the administrative and reporting infrastructure that keeps each project on track.

Your day-to-day tasks will include:
  • Manage and maintain complete project documentation and records across all assigned projects; ensure version control and team-wide accessibility.
  • Track budgets, process invoices and change orders, and assist with financial forecasting, cost-variance reporting, and preparation of pay application backup.
  • Coordinate vendor awards, purchase order execution, and contract records; track vendor insurance certificates and compliance documentation on behalf of the PM.
  • Support RFP processes by coordinating bid packages, organizing bid-leveling data, and preparing recommendation summaries for PM review.
  • Develop and update project charters, logistics plans, and integrated schedules; monitor milestones and flag critical-path or budget impacts to the PM early.
  • Attend key project meetings, milestone events, and site visits as directed; prepare agendas, capture minutes, and distribute and follow up on action items across internal teams, vendors, and the client.
  • Support client communications and prepare progress reports, presentations, and briefing materials under PM direction.
  • Assist with field QA/QC documentation, commissioning tracking, and contractor coordination for key project milestones.
  • Compile and coordinate delivery of closeout materials, including as-builts, O&M manuals, and warranties, in coordination with the project coordinator.
  • Actively participate in site safety protocols and LOTO awareness during site visits; uphold safety, quality, and compliance standards across all project phases.

Desired experience and technical skills:

Requirements:
  • Bachelor's degree in Construction Management, Engineering, or a related technical field.
  • 2-4 years of experience in construction, facilities, or project management; mission-critical or data center environment exposure preferred.
  • Understanding of mechanical, electrical, and building systems fundamentals.
  • Experience coordinating with contractors, vendors, and supporting procurement or RFP processes.
  • Proficiency with MS Office, MS Project, Procore, and similar project management and document-control tools.
  • Familiarity with construction documentation, scheduling, budgeting, and cost tracking.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities across multiple concurrent projects in fast-paced settings.
  • Clear written and verbal communication skills, including reporting and meeting documentation.
  • Willingness to travel occasionally and engage directly in active construction site environments for key milestones (up to 25% onsite as needed).

Preferred:
  • Experience with projects involving significant mechanical/electrical or critical systems scopes.
  • Exposure to data centers, hospitals, or other 24/7 operational environments with fast-track project delivery.
  • Working knowledge of commissioning, testing, and quality control procedures.
  • Experience supporting vendor selection, RFP/RFQ processes, and purchase order or contract administration.
  • Interest in developing specialized expertise in mission-critical facility management.
  • Pursuing or intending to pursue CAPM, PMP, or equivalent project management certification.
  • Strong problem-solving mindset and ability to collaborate across diverse, geographically distributed project teams.
