The Temple University's Ethics and Compliance Office is searching for an Associate Director, University Compliance-Operations & Administration to join our team!

Job Details:

Position Summary:
The university's Ethics and Compliance Office provides a fast-paced, highly visible, risk-focused environment for an individual with solid organizational and communication skills and experience.
As a member of the University's Ethics and Compliance Office reporting to the Chief Compliance Officer ("CCO"), the Associate Director, University Compliance, serves as the primary administrative and operations lead for the University's Ethics and Compliance Office managing budget, purchasing, payroll, website, strategic planning, and human resources functions on behalf of the department.
This role also provides substantive support for Youth Protection, helpline and case management, and preparation and execution of materials for the Board of Trustees, coordinating with program leads in those areas. Performs other duties as assigned by the CCO and Executive Director, Ethics and Compliance.

Required Education and Experience:
*Bachelor's degree with a minimum of 10 years of experience working in a complex office environment, including budget management, purchasing/procurement, payroll or HR administration.
*Demonstrated experience with Excel, MS Word, MS Project, and PowerPoint.
*Experience communicating with various levels of management. *Demonstrated experience working with and managing confidential information.
*An equivalent combination of education and experience may be considered.

Preferred Experience:
* Experience supporting a compliance, ethics, audit, or risk function.
*Demonstrated experience working with senior leadership.
*Strong project management skills with proven ability to see projects from start to finish.
*Self-starter capable of developing new processes and procedures.
*Demonstrated understanding of risk assessment and risk management.

*Familiarity with university purchasing/procurement systems and budget software (Banner).
*Ability to work across multiple sensitive functional areas (e.g., minors, civil rights, whistleblower matters) while maintaining strict confidentiality and appropriate professional boundaries.

*Demonstrated verbal and written communication skills along with the ability to effectively interact with a diverse group of individuals.

Essential Functions:
*Tracks and monitors departmental expenditures and budget; manages purchasing, invoicing, and vendor coordination; and manages the human resources functions (onboarding, payroll coordination, timekeeping) on behalf of the department.
*Provides administrative support services to the CCO, including scheduling, correspondence, meeting coordination and preparation/execution of materials for the Board of Trustees. Provides suggestions for strategic approaches for compliance efforts, including design and presentation of analytic data and information.
*Provides project management support for various program elements of the University's annual compliance plan; ensures timely completion and tracking; and prepares and presents dashboards and reports on the University's compliance work plan to stakeholders across the University, including the Board of Trustees. This includes creating reporting routines and preparing reports on help line and other claims to provide trend analysis and compile risk information.
*Provides administrative and coordination support for policy management efforts, working with stakeholders throughout the university to review university policies and processes, identifying and eliminating gaps, and tracking status of updates in coordination with the Director and CCO.
*Assists the CCO in the collection of disclosures and management of the annual Conflict of Interest (COI) program.
*Assists in creating ethics and compliance training and communication materials, including written materials, electronic communications/modules, and web presence.
*Maintains the content of the University Compliance program communication channels, including web pages on Temple.edu and the TU Portal.
*Provides administrative support for the helpline/hotline case management system, including intake logging, tracking, and status reporting, in coordination with the Associate Director, Compliance and Investigations.
*As needed, assists in the administrative triage of incoming help line calls, other claims and queries, routing to appropriate University resources for handling and investigation.
*Provides administrative and documentation support for investigations/responses, including scheduling, records/document handling, and tracking of timelines and deliverables, in coordination with the assigned investigator(s).
*Coordinates with Human Resources on administrative logistics related to compliance matters, as directed by the Director or CCO.
*Assists internal or external auditors in compliance reviews, as appropriate.
*Provides administrative and scheduling support to the Youth Protection program, including document handling, meeting coordination, and tracking of program deliverables, in coordination with the program coordinator/manager.
*Performs other duties in support of the University compliance program as directed by the CCO and Executive Director, Ethics and Compliance.
