Associate Director, Enrollment Data Systems

Job Summary:
The Associate Director (AD) of Enrollment Data Systems supports the development, implementation, and growth of business processes through data and systems analysis. The Associate Director is a "subject matter expert" of the systems and processes used by Strategic Enrollment Management (SEM) and Graduate Enrollment Operations that support the USF student lifecycle. The AD provides a wide range of support, and collaborates with Undergraduate admissions, Student Financial Services, The Office of the Registrar, Graduate Enrollment Services, International Admissions, and Enrollment Communications, to ensure data and the enrollment management systems are being used most effectively to support SEM's business functions. The AD provides primary management and support for the Slate Customer Relationship Management (CRM) system, Banner, Axiom, and other technical tools and services SEM uses or may acquire for its business needs. The AD is the primary contact supporting the upload of datasets into the CRM and administration of additional Slate application rounds, and supports SEM leadership and staff decision management by providing reports via Slate, USF Operational Data Store (ODS), and Tableau.

Essential Position Responsibilities:
  • Provides subject matter expertise in SEM data and business processes in support of SEM's strategic goals.
  • Manages Slate CRM configuration, maintenance, updating, and data conflict resolution.
  • Responsible for the loading of data from College Fairs, Purchased Lists, Virtual Tours, and other prospect sources into the Slate CRM.
  • Develops and supports the additional Slate-hosted application rounds, including applications for the Black Scholars Program and the Honors College, Bachelors of Arts in SOM, as well as the Transfer Pre-Advising process.
  • Develops and supports the direct application for USF. Updates fields and directions and imports data from applications to ensure SEM meets and exceeds admissions goals.
  • Supports the Director of Enrollment Data Systems to review and update Undergraduate First Year and Transfer Application data import and processing (Common Application, Liaison, Coalition).
  • Creates reports for Undergraduate and Graduate enrollment using Slate or other reporting tools (ODS, Tableau, etc.).
  • Provides back-up support for the Undergraduate Slate CRM system. Develops data integration between CRM and Common App applications, loading of application data into Slate, and the integration between Slate and Banner. Works closely with Undergraduate Admissions to ensure optimal use of CRM system to achieve enrollment targets.
  • Generates reports using Slate and SQL for tabular and statistical reporting, as well as ad-hoc reporting for SEM.
  • Works with departments within SEM and the University to provide proactive solutions to data collection issues and data collection enhancement through workflow analysis.
  • Participate in functions, events, and ceremonies managed by SEM.
  • Leads the creation and implementation of end-to-end test plans for processes to ensure that all objectives are met and that solutions work as expected.
  • Leverages knowledge of business process analysis methodology, processes, tools, and administration with strong emphasis on business improvement, standardization, documentation, and training.
  • Reviews and understands user documentation and/or release notes from vendors as well as change requests within USF to analyze impact to SEM systems and operations. Recommend changes in policies and procedures as applicable.
  • Act as subject matter expert to ensure data standards are widely known and used by all users of SEM systems.
  • Act as the Director in their absence.
  • Support SEM analysis and forecasting efforts by partnering with CIPE in the development and creation of critical dashboards, reports.
  • Maintain expert knowledge of SEM systems and stay abreast of SEM data structures, report extraction techniques, and software solutions.
  • Maintains professional knowledge by attending conferences, training, and participating in professional communities.
  • Ensures the integrity and confidentiality of the student academic records by complying with FERPA and USF academic policies.
  • Performs other related duties as assigned.


Minimum Requirements:
  • Understanding of and commitment to the University of San Francisco's Vision, Mission, and Values.
  • Bachelor's degree required. Master's degree preferred.
  • 3-5 years of experience working in university enrollment management with at least 2 years of lead support and administration of CRM and SIS systems.
  • At least two to three years of progressive IT responsibility, particularly in a Banner student/admission/student accounts/financial aid environment and Slate enrollment CRM environment.
  • At least two years of slate platform experience, specifically in admissions and enrollment, supporting data and application processes with experience in building and supporting application rounds.
  • Strong or Expert knowledge of Student Information Systems and other software suites utilized by Enrollment Management. Ability to administer and configure enrollment management systems as a functional user.
  • Experience with Axiom Elite or other integration platforms related to Enrollment Management (Axiom Elite, Informatica, etc.).
  • At least 2 years SQL writing experience. With the ability to read, write and build extensive detailed SQL scripts. Use SQL for reporting and to perform data audits as well as create rules.
  • Outstanding customer service orientation. Must show characteristics of sound judgement based on information available to support good decision making.
  • Very strong interpersonal and communication skills; highly articulate in both verbal and written forms, translating complex technical concepts into non-technical language.
  • Accountable and empowered - ability to take responsibility, self-start to ensure realization of SEM goals.
  • Strong desire and aptitude to continue learning and broadening professional skills within SEM.
  • Understanding of and the ability to apply Business Process Analysis techniques and methodologies. Ex: capable of producing requirement documents, cost benefit analysis, change requests, and test plans.
  • Proven problem solving skills with ability to assess a specific business scenario and develop an appropriate process and/or technical approach to support the desired business outcomes.
  • Excellent analytical skills, including the ability to understand systems and software as they relate to processes and data.
  • Data reporting skills and experience required.
  • Project management skills and experience desired.
  • Familiarity with University of San Francisco enrollment processes, policies, and culture preferred.
  • Experience with and demonstrated ability to work with a diverse student body, faculty and staff.
