Starting Salary Range $80,316 - $93,958 Annual (Management Salary Grade 16)

Salary/Compensation Statement:
  • The position's full salary range is $80,316 - $118,887. New employees cannot be placed higher than $93,958 (step 5 on the salary grade) due to internal equity. The application is used to determine the initial salary placement for selected candidates. All employment and education history will be considered.
  • Our Management Benefits package includes a generous contribution toward medical, dental and vision insurance, long term disability as well as paid sick leave and vacation time.
  • Lane Community College is considered a qualifying public employer for the purposes of the Public Service Loan Forgiveness Program. Through the Public Service Loan Forgiveness program, full-time employees working at the College may qualify for forgiveness of the remaining balance on Direct Loans after 120 qualifying monthly payments under a qualifying repayment plan. Questions regarding your loan eligibility should be directed to your loan servicer or to the US Department of Education.

Required Experience:
  • Three (3) years of experience working with records, registration and college policy.
  • Two (2) years of supervisory or management experience.
  • Experience working with a Student Information System (SIS, Banner, Jenzabar, Colleague, Peoplesoft etc...)

Position Purpose:

The Assistant Registrar supports the Registrar by providing operational leadership for the college's student records, registration, degree and transcript evaluation, academic scheduling, and enrollment reporting functions. The position is responsible for ensuring the integrity, accuracy, security, and compliance of student academic records in accordance with institutional policies, accreditation standards, and federal and state regulations.

The Assistant Registrar oversees the daily operations of the Records and Registration, Degree and Transcript Evaluation, and Academic Scheduling teams while ensuring accurate enrollment reporting, degree certification, transcript evaluation, and academic records maintenance. The position serves as a subject matter expert on student records administration, Banner Student Systems business processes, degree audit and transcript evaluation, academic scheduling, and regulatory reporting requirements, including the National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS).

Working collaboratively across Enrollment Management and Services, Academic Affairs, Financial Aid, Institutional Research, and Information Technology, the Assistant Registrar promotes efficient, student-centered services while ensuring operational continuity, institutional compliance, and the accurate administration of the college's academic records.

Essential Functions:

Operational Leadership and Student Records Administration
  • Provide operational leadership for the Records and Registration, Degree and Transcript Evaluation, and Academic Scheduling teams to ensure accurate, timely, and compliant delivery of Registrar services.
  • Supervise assigned staff responsible for student records, registration, degree and transcript evaluation, graduation certification, and academic scheduling.
  • Coordinate daily operations, assign work priorities, and monitor service levels to ensure timely completion of operational responsibilities.
  • Establish, maintain, and improve upon operational procedures that support efficient, accurate, and student-centered services.
  • Monitor workflow, processing timelines, and quality standards while identifying opportunities to improve operational effectiveness.
  • Serve as the primary escalation point for complex student records, registration, graduation, and scheduling issues.
  • Provide guidance and training related to student records policies, operational procedures, and regulatory requirements.


Compliance, Enrollment Reporting, and Records Integrity
  • Ensure institutional compliance with federal, state, accreditation, and institutional requirements governing student academic records and enrollment reporting.
  • Oversee institutional enrollment and completion reporting to the National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS).
  • Ensure compliance with Family Educational Rights and Privacy Act (FERPA), Department of Education reporting requirements, Oregon administrative regulations, accreditation standards, and institutional policies.
  • Maintain internal controls supporting the integrity, confidentiality, and security of official student academic records.
  • Coordinate audit preparation and provide documentation supporting federal, state, accreditation, and internal compliance reviews.
  • Monitor records retention, authorized disclosure, identity verification, and data governance practices.
  • Collaborate with Financial Aid and Institutional Research to validate enrollment and completion data supporting institutional reporting.


Degree Evaluation, Graduation Certification, and Academic Records
  • Provide operational oversight for degree evaluation, graduation certification, transcript evaluation, and maintenance of official student academic records.
  • Oversee transcript evaluation and transfer credit processing.
  • Ensure timely and accurate degree audits, graduation certification, and posting of degrees and certificates.
  • Monitor implementation of curriculum changes affecting degree requirements and academic records.
  • Resolve complex transfer evaluation, graduation, and academic records issues.
  • Ensure academic records accurately reflect student progress and program completion.

Academic Scheduling and Student Information Systems
  • Coordinate operational processes supporting academic and registration calendars, scheduling and student information system functionality.
  • Oversee production and maintenance of the college academic calendar, registration calendar and important dates information.
  • Ensure accurate implementation of academic calendars, room assignments, and course section maintenance.
  • Serve as the operational subject matter expert for Banner Student business processes supporting registration, records, degree evaluation, and scheduling.
  • Collaborate with Information Technology on Banner Student configuration, testing, implementation, and system enhancements.
  • Participate in system upgrades, process improvements, and technology initiatives affecting Registrar operations.
  • Coordinate planned system maintenance windows with Information Technology to minimize disruption to registration, records, and student services.

Policy Interpretation and Process Improvement
  • Support continuous improvement through policy interpretation, documentation, and operational enhancements.
  • Interpret and apply institutional policies governing student records, registration, graduation, and academic scheduling.
  • Develop, document, and maintain operational procedures.
  • Analyze operational data and performance measures to improve efficiency and service delivery.
  • Recommend improvements to workflows, technology, and business processes.
  • Maintain current knowledge of federal regulations, American Association of Collegiate Registrars and Admissions Officers (AACRAO) best practices, and emerging trends in higher education records administration.


Other Duties

  • Serve on institutional committees and workgroups.
  • Participate in professional development activities.
  • Provide operational support to the Registrar as needed to ensure continuity of services.
  • Ensure the implementation of the College's Affirmative Action and Equal Employment Opportunities concerning policies, goals, and timetables in assigned areas. Ensure staff development on diversity, inclusive climate, and respectful learning and working environment issues.
