MAJOR ACCOUNTABILITIES / CRITICAL RESPONSIBILITIES:
• Assists the Practice Manager in managing the daily operations of the practice locations.
• Prepares various documents and handles confidential matters in accordance with rules, policies and procedures.
• Promptly and professionally answers telephone calls and inquiries. Routes and/or resolves calls appropriately.
• Ensures the office space, supplies, and equipment are provided and maintained appropriately for admin staff, clinical staff, and patient care.
• Manages the preparation and reporting processes for payroll in the absence of the Manager. Functions include processing employee recorded time in Kronos, verifies for accuracy, and clarifies inconsistencies with the employees and/or Practice Manager.
• Reconciles monthly third-party vendor billing with appointment schedules for accuracy. Identifies discrepancies and facilitates the correction.
• Assists in resolving clinical issues related to a third-party vendor, physician and patient billing related matters.
• Oversees and approves office clinical supply inventory, ensures mail is opened and processed, and offices are opened and closed according to procedures.
• Provides support to the clinical staff and administrative staff in the absence of the Practice Manager. This position is the primary back up for clinical staff.
• Run errands as necessary at the request of the Practice Manager and/or Medical Site Directors.
• Supports and upholds established policies, procedures, objectives, quality improvements and safety.

• Complies with departmental organizational policies and procedures and adheres to external agency requirements.
• Perform other duties as assigned.

QUALIFICATIONS/REQUIREMENTS:
• 5 + years Clinical Experience required. Registered Nurse preferred.
• Bachelor's degree is preferred.
• Two years of supervisory experience is Preferred.
• Must exhibit a high degree of responsibility in confidential matters.
• Ability to work independently and balance multiple priorities is required.
• Effective communication skills, both verbal and written English proficiency required.
• Excellent organization, problem solving, and listening skills are required. Knowledge of medical terminology is required.
• Strong interpersonal skills are required. Broad-based experience successfully working with physicians and individuals.
• Proficient in Microsoft Word, Excel, Outlook and Epic preferred.
