JOB OVERVIEWThe Assistant Director of Meetings & Events supports the strategic leadership and daily operations of the Sales, Events, and F&B Departments ensuring exceptional execution of group, catering, banquet, and special events. This role partners closely with the Director of Meetings & Events to drive operational excellence, enhance the guest experience, maximize revenue opportunities, and maintain the highest service standards in a fast-paced, full-service hotel environment.

DUTIES AND RESPONSIBILITIES- Assist in leading the Events & Banquets teams by providing day-to-day operational oversight, coaching, training, and performance development to ensure exceptional service delivery
- Support recruitment, onboarding, scheduling, and ongoing development of department team members while fostering a collaborative, high-performing culture
- Help oversee departmental operations, including event assignments, workflow, service standards, and operating procedures to ensure seamless execution and operational efficiency
- Partner with Sales, Revenue Management, and Operations teams to ensure a smooth transition from contract turnover through event execution, maximizing client satisfaction and profitability
- Serve as the primary contact for assigned meetings, events, and key accounts, acting as the liaison between clients and hotel departments to ensure all event requirements are communicated and executed accurately
- Conduct pre-convention meetings, site inspections, planning meetings, and event follow-up to build client relationships and ensure successful event outcomes
- Monitor event operations during in-house programs, proactively resolving service challenges and responding to client requests with professionalism and urgency
- Collaborate with the culinary & banquet leadership to maintain banquet menu quality, pricing integrity, and creative offerings that meet market trends and guest expectations
- Ensure accurate event documentation, including banquet event orders (BEOs), rooming lists, billing instructions, and event changes within hotel systems
- Support departmental financial performance by monitoring labor productivity, identifying revenue enhancement opportunities, and assisting in achieving departmental budgets and profitability goals
- Maintain effective communication across all hotel departments to ensure exceptional coordination and execution of meetings, conferences, weddings, and social events
- Uphold brand standards, hotel policies, and safety procedures while continuously seeking opportunities to enhance operational processes and elevate the guest experience
- Assume leadership responsibilities in the absence of the Director of Meetings & Events, ensuring continuity of operations and decision-making
QUALIFICATIONS AND REQUIREMENTSEducation & Experience- Bachelor's degree in Hospitality Management, Business Administration, or a related field preferred; equivalent combination of education and experience will be considered
- Minimum of 3-5 years of progressive experience in hotel meetings and events, convention services, catering, or banquet operations, including supervisory or management experience
- Previous experience in a full-service hotel or resort environment with high-volume group and catering business preferred
- Experience using hotel property management and event management systems (e.g., Delphi, OnQ, CI/TY, or similar platforms) preferred
Required Skills/Abilities- Demonstrated leadership skills with the ability to motivate, coach, and develop team members in a fast-paced environment
- Strong organizational and project management skills with the ability to manage multiple priorities while maintaining attention to detail
- Excellent verbal and written communication skills with the ability to build positive relationships with clients, vendors, and cross-functional hotel teams
- Proven ability to anticipate guest needs, resolve challenges proactively, and make sound decisions under pressure.
- Strong financial and business acumen, including experience managing budgets, labor costs, and revenue opportunities
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
ScheduleWork schedules are based on the operational needs of the business. Availability to work days, evenings, weekends, and holidays is required for this position.
Physical, Mental and Environmental & Technical DemandsFast-paced environment, multiple tasks to be handled under time constraint. Must be able to bend, crouch, kneel, and twist in the work area. The role involves frequent standing, walking, bending, kneeling, climbing, lifting, pushing, and pulling objects weighing up to 250lbs. often for extended periods. Must be able to maneuver around property. Must be able to sit for prolonged periods of time. Must be able to operate a computer, telephone, and copier. Must have manual dexterity to operate all office equipment. May include exposure to high levels of ambient noise for prolonged periods, must be able to perform essential job functions effectively in such conditions.
